Under the supervision of the Director, performs a variety of clerical/clinical duties in support of the unit.

I. Major Responsibilities:

1. Performs clerical functions for the Inpatient and Partial Hospital Program (PHP) as assigned
a) Collect and monitor charge slips and enter billing
b) Type letters and documents as requested.
c) Prepares daily paperwork for Partial Hospital Program.
d) Assemble PHP charts daily.
e) Disassemble PHP charts and review for accuracy and completion
f) Sends original chart documentation to medical records.
g) Faxes Primary Care Provider, release of information and discharge information as appropriate.
h) Completes daily census sheet for PHP
i) Orders, receives and stocks inventory of stationary, forms and other necessities as needed.
j) Completes and submits necessary monthly reports to Department of Mental Health.
2. Facilitates effective communication and coordinates unit activities.
a) Answers telephone appropriately and courteously.
b) Takes and relays messages in a timely manner.
c) Places calls as requested to physicians, and other professional or ancillary services.
d) Greets and directs visitors, physician, and staff from other departments.
e) Opens, sorts and routes mail accurately and in a timely manner.
f) Maintains scheduling for workplace violence certification registration
3. Program Schedule Management.
a) Coordinate billing/insurance/registration matters with Patient Accounts department. Fax/receives booking forms.
b) Ensure patients are pre-registered in system.
4. Staff Scheduling: In collaboration with unit Director and Manager of Partial Hospital Program, responsible for ensuring necessary staff coverage for the 24 hour inpatient service and Partial Hospitalization Program.
a) Completes schedule in a timely fashion and in accordance with MNA contractual guideline and hospital policies and procedures.
b) Manages all changes including available staffing needs and staff sick calls while ensuring necessary coverage is available.
5. Weekly Payroll: In collaboration with Unit Director and Partial Hospital Manager, submits weekly payroll for Inpatient Service and Partial Hospital Program.
a) Monitors staff submissions for pay.
b) Ensures accuracy of financial accounts.
6. Assists the supervisors by performing administrative duties as requested.

4. Complies with all health and safety regulations and requirements.

II. Position Qualifications:

License/Certification/Education:
Required:
1. High School diploma/GED
Preferred:
1. Medical Assistant certification

Experience/Skills:
Required:
1. One or more years of Clerical/Administrative experience
2. Experience in a hospital or health care setting preferred
3. Computer skills required
4. Knowledge of Medical Terminology required
5. Excellent interpersonal skills
6. Demonstrated prioritization and organizational skills
7. Strong customer service focus OR equivalent combination of the above

Unless certification, licensure or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility listed in this description may be substituted for the above requirements.

Department-specific competencies and their measurements will be developed and maintained in the individual departments. The competencies will be maintained and attached to the departmental job Responsible managers will review competencies with position incumbents.

III. Physical Demands and Environmental Conditions:
