Underwriting Administrative Assistant

Reporting to the Deputy Chief Underwriting Officer, this role will provide comprehensive administrative support to the Bermuda Underwriting team comprising of 20+ professionals. This role is a contributor to the provision of cross-company administrative support and works alongside the Personal Assistant to group executives, the Office Administrative Assistant and the general administrative team.
Key Responsibilities
Provide general administrative support to the Underwriting department, including, but not limited to:
- Coordinate department conference and overseas meeting attendance and schedule requirements.
- Ensure travel for the Underwriting department is booked in accordance with the Group Travel Policy and that all records are kept up to date. Further, to assist generally with travel related enquiries and administration, assist with VISA and ESTA applications, ensuring internal travel calendar and traveller’s diaries are up to date.
- Ensure that confirmed travel data is submitted to the Office Administrative Assistant in a timely manner for quarterly reporting purposes.
- Coordinate internal and external, social, and marketing events.
- Prepare meeting papers and reports as needed.
- Handle correspondence (emails, calls) professionally and promptly.
- Prepare expense claim submissions and company card reconciliations.
- Attend to visitors and provide professional and friendly service.
- Provide coverage and administrative support during the absence of the Personal Assistant to Group Executives.
- Any other ad hoc administrative duties that may be required.
Skills, Knowledge and Expertise
- A university degree or professional administrative qualification is advantageous.
- A minimum of two years’ experience working in a high-pressured office environment is required, insurance industry experience is preferred.
- Experience effectively coordinating business travel for multiple frequent travellers is essential.
- Experience in effectively supporting large teams, including senior leaders is strongly advantageous.
- Demonstrable ability to work well under pressure with keen attention to detail and effectively manage time and conflicting priorities.
- Strong work ethic and the ability to work extended hours including weekends during busy periods is required.
- Excellent communication (written and verbal) and interpersonal skills.
- Strong problem-solving skills and the ability to work effectively in a team and autonomously is required.
- Advanced IT skills including MS Office, Word, Excel, and PowerPoint are required.
