About the Department

The SAIC Admissions team supports one of the nation’s leading art and design institutions, connecting prospective students with interdisciplinary programs, world-class resources and a vibrant creative community. The department plays a key role in recruiting. preparing and guiding future artists, designers and scholars through the admissions process.

Provide administrative support to the Undergraduate Admissions office in SAIC’s Enrollment Management Division.

Responsibilities

  • Ensure all materials needed to make admission decisions for undergraduate applications are received, communicating with applicants via email, letter, phone and SMS.
  • Conducts outreach campaigns to applicants for various initiatives.
  • Assists with processing applicant materials in all admissions systems to ensure files are accurately updated
  • Reviews integration reports and resolves error records.
  • Acts as front-desk coverage on a weekly basis but also during high traffic times.
  • Coordinates the Undergraduate admission/merit decision process and generates undergraduate admission letters and packets to be mailed, including producing labels for international applicants.
  • Initiates a variety of correspondences based upon individual student records including merit awards and communication plan initiatives.
  • Ensures undergraduate student application records are updated and accurate in SlideRoom, PeopleSoft, and Slate.
  • At the end of each undergraduate admission cycle, ensures that final transcripts are received from all matriculated students.
  • Creates, compiles and completes spreadsheets of data for various projects.
  • Assist with office mailing initiatives as needed.
  • Responds to prospective student inquiries in a timely manner.
  • Partners with the Associate Director and Assistant to Vice President in maintaining inventory for admissions marketing materials, office supplies in the office and with various vendor storage.
  • Acts as first backup to admissions front-desk coverage for PTO.
  • Delegates projects and tasks to operations student workers.
  • Perform other duties as assigned including but not limited to assisting with graduate application file processing and outreach.
  • Occasional early mornings, weekends and evenings will be required.

Qualifications

  • Bachelor’s Degree or relevant experience
  • At least 1 year of experience preferred
  • Working knowledge of MS Office/Google Suite applications, including Word and Excel (particularly mail-merge)
  • Ability to work under tight deadlines and prioritize across multiple projects
  • Strong organizational and time management skills
  • An extremely high level of attention to detail
  • Experience in higher education admissions a plus
  • Experience working directly with CRM software (Slate, Salesforce, etc.) and PeopleSoft Student Information System is preferred.

The expected hiring range is an estimated amount for positions based on the grade. Final offers are based on various factors, including skill set, experience, qualifications and other job-related reasons.
