Summary

We are seeking a part-time Accounting Clerk. This position is part of our Administrative office and supports the accounting functions of the library. Our ideal candidate will have a keen eye for detail and will be knowledgeable of spreadsheet and word processing software.

Job Summary:

Assists the library’s Fiscal Officer in the day-to-day financial operations of the library including payroll processing, purchasing, accounts payable, accounts receivable, and general ledger activities.

Examples of duties

Essential Functions:

  1. Performs the accounting and clerical functions to support financial and payroll transactions including journal entries, printing checks, and maintaining vendor accounts.
  2. Counts money daily and prepares deposits. Prepares spreadsheet to assist in creating journal entries.
  3. Delivers deposits to the bank daily.
  4. Assists in processing bi-weekly payroll, including reviewing and resolving timesheet issues and verifying payroll reports.
  5. Issues and amends purchase orders.
  6. Ensures that the library pays all invoices on time and has proper documentation of all expenditures.
  7. Assists with the library’s public records retention program.
  8. Responds to questions from budget managers regarding invoices and receipts.
  9. Works with vendors to ensure proper documentation.
  10. Serves as a backup for the Administrative Assistant in greeting guests to the Administrative Office and answering phone, as needed.
  11. May serve as a passport agent as assigned.
  12. Follows library safety and emergency policies and procedures.
  13. Reports maintenance and safety issues to supervisor and/or Facilities personnel.
  14. Supports special projects as required.
  15. Performs other duties as assigned.

Qualifications

Required Knowledge, Skills, and Abilities:

  • Knowledge of the basic principles of accounting.
  • Ability to maintain strict confidentiality of all business and personnel matters.
  • Ability to work accurately and with high attention to detail.
  • Effective interpersonal skills, including the ability to communicate verbally and in writing in English.
  • Competent in the use of Windows-based computer programs.
  • Proficiency in word processing and spreadsheet programs.
  • Valid Ohio driver’s license and proof of insurance.

Education and Experience:

  • High School Diploma or GED required. Associate’s Degree in Accounting, Business, Finance, or a related field preferred.
  • Two or more years of experience in accounting and payroll practices using an automated accounting system preferred.

Physical and Environmental Conditions:

  • The work environment involves everyday risks or discomforts that require normal safety precautions typical of libraries and offices, which includes the need for general safe workplace practices with office equipment and computers, avoidance of trips and falls, and observance of fire regulations.
  • The noise level in the work environment is usually quiet to moderate.
  • Considerable mobility including, but not limited to, extensive periods of walking, bending, sitting, lifting weights up to 20 pounds, and pushing full book carts.
  • Manual dexterity sufficient to perform general typing and computer skills.
  • Calm and focused handling of interruptions and distractions.
  • Periodic intense concentration and sustained viewing of a computer monitor.
  • Daily local travel by personal automobile is required.

Monday through Friday 10-2 pm
