Remote Resourcer – Tutors

Purpose of the role

The Remote Resourcer owns the tutor journey from first contact to the point a tutor is fully compliant, interviewed, briefed and ready to teach. The consultant then takes that tutor to market and manages the client relationship. Tutors work one to one or in small groups, often online and often with vulnerable learners, so the quality of the screening and the accuracy of the compliance file directly affect the safety of children and the reputation of the business. This is a role where getting the detail right matters more than moving quickly.

Key responsibilities

Tutor attraction and sourcing

▪ Source qualified teachers, early career teachers, experienced tutors and subject specialists through job boards, the CRM database, social media, tutor communities, referrals and advertising.

▪ Recruit across the subjects and key stages in live demand, including English, maths, science, SEN and exam intervention work.

▪ Write and post role adverts that reflect live demand from the consultants you support.

▪ Run daily proactive outreach by phone, email and message to build a pipeline ahead of demand rather than in reaction to it.

▪ Re engage lapsed and dormant tutors already held in the CRM.

▪ Keep a live map of tutor availability by subject, key stage, exam board, online or in person delivery and hours available.

Screening and interviewing

▪ Carry out a structured telephone initial call then a video registration call following a set interview structure.

▪ Establish and record full employment history, including the reason for any gap of more than one month.

▪ Verify teaching background: QTS or teaching qualification where held, subjects, key stages, exam boards and recent classroom or tuition experience.

▪ Assess suitability for tuition rather than classroom work: ability to plan for an individual learner, build rapport quickly, work without a school behaviour system behind them and report on progress.

▪ Assess suitability for online delivery: confidence with the tuition platform, camera and microphone quality, reliable connection, quiet and private teaching space and an appropriate background.

▪ Assess safeguarding awareness in a one to one and online setting specifically, not just in a classroom.

▪ Confirm availability including after school and weekend hours, travel radius for in person work, hourly rate expectations and any restrictions.

▪ Decline unsuitable tutors promptly and professionally, and record the reason.

Compliance and vetting

▪ Verify identity and address using original or certified documentation to the standard set out in the compliance procedure.

▪ Confirm the right to work in the UK and record document type, expiry and share code where applicable.

▪ Process an enhanced DBS check with a children’s barred list check, or verify a suitable existing certificate registered with the DBS Update Service, and carry out a status check.

▪ Complete prohibition from teaching, prohibition from management (section 128) and any sanction or restriction checks required for the role.

▪ Obtain and verify a minimum of two references covering the most recent employment or tuition work involving children, taken up in writing from a senior person at the organisation and verified by telephone or verified email domain.

▪ Obtain overseas police clearance or a certificate of good conduct for any period lived abroad, in line with the compliance procedure.

▪ Complete an online presence check on shortlisted tutors and record the outcome.

▪ Verify qualifications, QTS status where relevant, degree and subject qualifications and any specialist training certificates.

▪ Obtain a health and medical fitness declaration and escalate anything requiring occupational health input.

▪ Ensure safeguarding, Prevent, online safety and any mandatory training is completed and in date before release.

▪ Ensure the tutor has read and signed the one to one and online tuition code of conduct before any session is delivered.

▪ Chase outstanding documents daily and keep the tutor informed of exactly what is still needed.

▪ Maintain compliance records to audit standard so that a file can be produced on request for a client, an inspection or an external audit at any time.

▪ Escalate every discrepancy, gap, unexplained absence or concern to the Remote Team Manager. Never resolve a compliance query by assumption.

Getting tutors work ready

▪ Brief the tutor on how the agency works, expected conduct, timekeeping, absence reporting, session cancellation and safeguarding responsibilities.

▪ Complete platform onboarding so the tutor can run a session, record attendance and submit session notes without support.

▪ Run a short test session or technology check before the first booking for anyone delivering online.

▪ Ensure payroll and personal details are set up and correct before the first booking.

▪ Confirm the tutor understands their rate, how timesheets and session claims work and who to contact.

▪ Produce a clear, accurate tutor profile in company format, covering subjects, key stages, exam boards, availability and delivery method, that a consultant can send to a client without rework.

▪ Confirm the tutor is genuinely available and still interested before handover.

▪ Ensure all details are in the CRM.

Handover to the consultant

▪ Hand over only tutors who are fully screened, fully compliant, platform ready and briefed.

▪ Provide the consultant with a short written summary covering subjects and levels, availability, strengths, any client sensitivities and the compliance status.

▪ Answer consultant questions on the tutor and support them with any follow up information required.

▪ Track handed over tutors through to placement and feed back anything learned into future screening.

Systems and administration

▪ Record every call, message, document, interview and decision in the CRM on the day it happens.

▪ Keep tutor records, subject coverage, availability and compliance status accurate at all times. The CRM is the single source of truth.

▪ Maintain the compliance tracker and flag expiring documents before they lapse.

▪ Provide daily and weekly activity reporting to the Remote Team Manager.
