This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Travel Operations Specialist Luxury Account based in India.
This is a fully remote opportunity for a detail-oriented travel professional supporting high-value international business and first-class travel bookings. You will take confirmed flight bookings and turn them into complete, accurate, client-ready travel packages. The role combines travel operations, payment verification, invoicing, itinerary management, and high-touch client service. You will work across multiple systems while maintaining exceptional attention to detail and ensuring every booking is handled promptly. Your work will directly shape the client experience at a critical moment in the travel journey. You will join a fast-paced, collaborative environment where accuracy, ownership, and polished communication are essential.
Accountabilities:
- Receive confirmed flight bookings from the Ticketing team and create or update complete trip records, including passenger information, flight details, seat assignments, meal preferences, and frequent flyer information.
- Build and maintain accurate itineraries and prepare client invoices using billing platforms such as FreshBooks or similar tools, following established review and approval procedures.
- Verify that payments have been received and correctly recorded before any itinerary, invoice, or other deliverable is shared with the client.
- Cross-check payment information across multiple platforms, including credit card, bank transfer, PayPal, and other digital payment methods, and promptly escalate discrepancies to the Team Lead.
- Coordinate additional travel services such as airport transfers, seat selections, special meals, and other client requests, ensuring all confirmations are accurately documented.
- Send approved itineraries and invoices to clients through the designated communication platform using clear, warm, and professional messaging.
- Maintain real-time accuracy across client management, billing, and travel systems, ensuring passenger details, flight information, invoice amounts, and payment status remain consistent.
- Ensure booking-related tasks are actioned promptly and that no task remains unattended for more than 30 minutes during your shift.
- Collaborate closely with Team Leads, Ticketing, and Client Service teams to manage changes, resolve discrepancies, and escalate complex or client-impacting issues appropriately.
Requirements:
- 1–2+ years of experience in travel operations, hospitality administration, client coordination, or a comparable role involving detailed records and multiple operational systems.
- Hands-on experience creating or managing invoices through FreshBooks, QuickBooks, or a similar billing platform.
- Experience verifying, reconciling, or tracking payments across multiple methods, such as credit cards, bank transfers, PayPal, or digital payment platforms.
- Strong attention to detail and a demonstrated ability to identify inconsistencies across systems and take appropriate action rather than overlooking them.
- Excellent written communication skills, with the ability to communicate with clients in a polished, professional, and personable manner.
- Strong organizational and multitasking abilities, particularly when managing multiple bookings and priorities during busy shifts.
- Experience with itinerary-building platforms such as Travefy, Axus, TravelJoy, Tourwriter, or similar tools is a plus.
- Previous experience in luxury hospitality, premium travel, or high-touch client service is advantageous.
- Familiarity with CRM, client communication, or task management tools such as Asana is a plus.
- Working knowledge of travel-specific passenger information, including Known Traveler Numbers (KTN) and Frequent Flyer Numbers (FFN), is beneficial.
- A genuine interest in travel and a commitment to delivering seamless, accurate, and high-quality client experiences.
- A willingness to learn is valued; you do not need to meet every requirement if you bring strong transferable skills and the drive to succeed.
