Job Purpose
To effectively manage and lead the GBS Travel and Entertainment team to achieve targets and key performance indicators in line with objectives. To oversee and support the travel and entertainment management and employee reimbursement function. Maintain and implement enhancements to the relevant travel and expense systems with the objective of ensuring the completeness and accuracy of all related accounting records and adherence to company policy.
PRINCIPAL ACCOUNTABILITIES:
TRAVEL AND EXPENSE CARD MANAGEMENT
- Manage and provide leadership to the team to deliver accurately and timeously on the required attestation, in line with company policies, processes and relevant legislation to meet business needs and within the agreed SLAs.
- Manage and provide leadership to the team to with respect to administration of the travel and expense cards including relationship management with the relevant banks, where applicable.
EMPLOYEE REIMBURSEMENT
- Actively manage the employee reimbursement process and addressing exceptions to ensure employees are reimbursed aligned with company policies and within the agreed SLAs
- Actively manage the employee cash advance process, where applicable, aligned with company policies and within the agreed SLAs.
- Work closely with the GBS Treasury team to ensure timeous payment of employee cash advances and reimbursements.
TRAVEL MANAGEMENT
- Manage and provide leadership to the team on the travel support for all travel systems.
- For South Africa (ZA02 and ZA04), drive the monthly reconciliation of the virtual bank cards against the travel spend and ensure accurate posting to the General Ledger
- Manage payments to the travel vendors and ensure reconciliations against spend, where applicable
- Liaise with IT on travel system enhancements by driving requirements and managing testing ensuring minimal disruption to the business
BUSINESS PROCESS IMPROVEMENT
- Identifying controls, weaknesses and enhancements to and drive the necessary changes to improve processes, working closely with the GBS Operations teams.
MANAGE QUERY RESOLUTION
- Ensure that the T&E teams are actively managing incoming queries in order to meet set SLA's
GENERIC ACCOUNTABILITIES:

- Foster and sustain effective working relationships and rapport with OU personnel and management, GBS personnel and Central team.
- Foster and sustain effective working relationships and rapport with the external stakeholders and service providers to keep abreast with latest development to capture new business opportunities.

- Drive the development of competent working team that will enhance and sustain staff capabilities in achieving high performance delivery to ensure internalisation of the right leadership and capabilities in executing their jobs.
COBE, POPI and ABC Policies:
- Communicate, interpret and champion the execution of the company’s policies and provisions of the Codes of Conduct & Business Ethics (COBE), Protection of Personal Information (POPI) and Anti-Bribery & Corruption (ABC), and undertake appropriate mitigation and/or intervention programmes to safeguard business operations, high staff discipline and industrial harmony.
Good Governance:
- Enforce the implementation of applicable company procedures and guidelines and affect the compliance to statutory and legislative requirements to ensure conformance to the established Manual of Authorities (MoAs) to safeguard the company’s interest, image and reputation.
- Enforcement of the Treasury policy.

Requirements
- NQF Level 7 (Degree in Accounting/ Finance)
- 5 years’ experience in Accounts Payable/ T&E is advantageous
- SAP experience in a previous finance role (FI module)
- Experience with management of the Concur system is advantageous
- 3 years management experience
- Ability to lead, influence and deliver results in a fast paced, matrixed environment.
- Excellent communicator and well developed interpersonal, negotiation and conflict resolution skills.
- Month end and year end overtime may be required
