Abt PNG Management Services is a shared services platform supporting seven programs based in PNG.
The seven programs include:
Australia PNG Economic Partnership (APEP)
Australia PNG Subnational Program (APSP)
PNG-Australia Transition to Health (PATH)
PNG Partnerships for Improving Education (PIE)
PNG Women’s Lead (PNGWL)
Papua New Guinea Institutional Partnerships Program (PIPP)
PNG Secondary Education Program (PSEP)
The Abt PNG Management Services departments support the delivery of the above mentioned Abt Programs through corporate services functions across eight teams including Finance and Travel, People and Culture, Procurement, Grants Management, Legal and Contracts, ICT, Facilities and Logistics and Safety and Security.
About the Opportunity
The Travel Coordinator supports the Travel Manager by providing efficient and timely travel, logistics, and administrative coordination for program personnel, ensuring travel arrangements are managed effectively and in line with organisational policies. The role also supports travel-related procurement and transaction processing activities in accordance with approved procedures. Key responsibilities
The Travel Coordinator will undertake the following responsibilities:
Arrange domestic travel bookings (flights, accommodation, transport) for program personnel through to completion, including confirmation of travel arrangements and supporting documentation.
Liaise with travel service providers to obtain quotes and confirm bookings in accordance with Abt policies
Ensure all travel requests are processed accurately and in a timely manner
Review and process per diem calculations in accordance with approved rates and guidance and prepare related documentation for payment. Raise and process approved travel-related purchase orders and transactions in NetSuite in accordance with established procedures and delegated authority.
Review travel invoices for accuracy and submit payment requests to Finance.
Ensure Finance is informed in a timely manner of cash advance requirements
Ensure all required documentation is obtained prior to travel in coordination with travelers and program staff
Maintain accurate and up-to-date travel records and update travel trackers on a daily basis
Work in accordance with organisational policies and procedures
Provide clear and timely travel information and support to travelers
Ensure travel arrangements, including tickets, accommodation, transport, and per diem details are issued on time and communicated clearly to travelers.
Keep travelers, and relevant staff informed of risks, delays, and emerging issues and keep the Travel Manager informed as required
Follow up on travel acquittals to ensure timely submission in line with policy
Support the Travel Manager in induction briefings on travel processes for new staff
Perform other duties as required by the supervisor
At all times, work in accordance with the Company Procedures Manuals
Key Deliverables
Delivery of agreed activities in line with the approved TARF
Timely and accurate travel bookings
Accurate review and processing of per diem calculations.
Timely and accurate processing of approved travel-related transactions in NetSuite
Efficient use of systems to support travel operations
Adherence to travel and financial procedures
Up-to-date travel records and documentation
Effective coordination and communication with stakeholders
Timely processing of invoices, advances, and acquittals
Key Working Relationships
All shared service teams (Finance, Payroll, HR, Security & Fleet, Procurement)
Program Delivery Teams
Internal and External Clients (Procurement companies/Travel Agencies/Hotel etc.)
About You
For applications to be considered, a response to the key selection criteria below must be provided
Basic experience in coordinating and managing administrative, travel, and logistics tasks.
Diploma or equivalent qualification in business management, administration, project management, social science and/ or another relevant discipline.
Some relevant experience in a high-volume, fast-paced environment (internships or volunteer work acceptable).
Good written and verbal communication skills in English and Tok Pisin.
A strong commitment to delivering excellent client service, with a proactive approach to anticipating needs.
Proficiency in Microsoft Office, especially MS Outlook, MS Word, and Excel.
Ability to work within established policies and procedures
Desirable:
Experience with financial or ERP systems (e.g. Netsuite) including transaction processing and purchase order management.
Experience supporting development or donor-funded programs
Knowledge of the PNG travel and logistics environment
