What we do

The International Committee of the Red Cross (ICRC) works worldwide to provide protection and humanitarian assistance to people affected by conflict and armed violence. We take action in response to emergencies and, at the same time, promote respect for international humanitarian law. We are an independent and neutral organization, and our mandate stems essentially from the Geneva Conventions of 1949. We work closely with National Red Cross and Red Crescent Societies and with their International Federation in order to ensure a concerted, rational and rapid humanitarian response to the needs of the victims of armed conflict or any other situation of internal violence. We direct and coordinate the international activities conducted in these situations.

Purpose

We are seeking a proactive and detail-oriented individual to join our team as a Travel Administrative Assistant. This role plays a vital part in supporting travelers and ensuring smooth travel operations within our organization. Accountabilities & functional responsibilities

  • Support Travelers Assist travelers in resolving issues related to travel policy, processes, and tools, either by resolving cases independently or escalating them to the appropriate team. Organize and coordinate travel for staff across departments and delegations, with a focus on Beginning of Mission (BoM) bookings. Manage flight and accommodation bookings, changes, and cancellations in line with ICRC Travel Rules, using relevant tools, while ensuring cost efficiency and timely follow-up.

  • Guidance and Booking Support Support staff with travel bookings by providing guidance or completing bookings on their behalf. Ensure accurate traveler data, follow standard booking procedures, and resolve booking-related issues proactively.
  • Tool Administration & Functional / Technical Support Administer travel tools and systems (traveler profiles, approvals, hotel bookings) and resolve technical issues when possible, escalating to support teams when needed.
  • Policy Compliance & Service Quality Ensure travel activities comply with policies and procedures, address non-compliance cases, and contribute to high service quality and customer satisfaction.
  • Data Management & Continuous Improvement Maintain accurate travel data, identify discrepancies, collaborate with relevant teams to resolve issues, and contribute to improvements in travel processes and policies.
  • Communication & Follow-Up Ensure timely follow-up on travel-related requests and communication, coordinating with internal stakeholders and departments.
  • Process Monitoring & Optimization Identify challenges in travel processes, propose practical improvements, and support the optimization of travel operations

Professional experience required / Education required

  • 2-plus years related Business Travel experience (specifically in shared services) OR equivalent combination of education and experience.
  • Good knowledge of the English language (written and spoken) is a must.
  • Knowledge of French and/or Spanish (written and spoken) is a strong asset.
  • Good understanding of travel and booking systems, including GDS functions and ticketing tools (ServiceNow knowledge is a strong asset).
  • Confident user of Microsoft Office and digital tools in a professional environment
