The Lunch Bag is Ireland’s leading school meals provider, delivering over 100,000 healthy lunches to children every day. We’re now looking for a transport Admin.
What is this role exactly?
The Transport Office Administrator provides structured administrative and operational support to the national transport function, ensuring delivery accuracy, vehicle compliance, payroll coordination, and continuity of overnight school lunch operations.
The role acts as the control centre for department coordinating the data, documentation, and communication — supporting the Transport Manager in maintaining a compliant, organised, and responsive logistics operation.
And what will be my tasks?
Maintain all transport spreadsheets including delivery data, manifests, timesheets, insurance renewals, motor tax records, and operational reporting.
Maintain and update Monday.com vehicle database.
Keep accurate van allocation lists and monitor driver-to-vehicle assignments.
Ensure all transport planning tools reflect real-time changes.
Support the preparation and updating of delivery manifests.
Maintain route documentation and planning records.
Assist the Transport Manager with van planning, route amendments, and driver allocations.
Ensure all changes are properly recorded and communicated.
Liaise daily with Night Supervisors and transport coordinators.
Log operational issues arising from overnight deliveries.
Escalate urgent matters appropriately.
Track corrective actions and ensure resolution follow-up.
Coordinate timesheet submissions with drivers and supervisors.
Liaise with Splitstone payroll department.
Administer toll tags, fuel cards, and diesel accounts.
Monitor and reconcile usage against records.
Track renewals for insurance, motor tax, and vehicle documentation.
Issue vans to non-driver staff.
Maintain sign-in / sign-out logs and vehicle condition records.
Act as a central communication link between driver supervisors, transport management, logistics, and operations teams.
Ensure clear, documented communication on changes, issues, and updates.
Maintain records in line with company procedures and GDPR standards.
Ensure transport records are audit-ready at all times.
Maintain compliance with GDPR, insurance and roadworthiness requirements, and company fleet policies.
Support transport reporting requirements for management and executive review.
What we’re looking for:
Strong written and verbal communication skills.
Previous experience using Microsoft Office, particularly Excel.
Patience and problem-solving ability.
A team player who brings good energy to the workplace.
