About the Role

The Transition lead supports transition activities by scheduling meetings, interviews, and workshops to coordinate knowledge capture and handover tasks. Tracks the progress of documentation and handovers, maintaining status reports, timelines, and trackers to ensure transparency and follow‑through. Follows up on action items and supports communication across team members to keep all stakeholders aligned. Through structured coordination and consistent follow‑up, the Transition lead enables smooth transition workflows and effective team collaboration.

What You'll Do

  • Coordinate Transition Activities Locally - Schedule and facilitate meetings, interviews, and workshops with local SMEs and team members and act as a local point of contact for transition coordination;
  • Track Progress of Documentation and Handover - Monitor the status of process documentation, validation, and readiness for handover and ensure timelines are adhered to and escalate delays as needed;
  • Maintain and Update Project Tools - Keep trackers, timelines, and status reports up to date and provide regular updates to the central transition team and Project Manager;
  • Drive Follow-up on Action Item - Ensure open items and tasks from meetings or workshops are actioned in a timely manner and remind and support contributors on their responsibilities;
  • Facilitate Communication - Support consistent communication between local teams and the central transition function and help clarify questions from documentation teams or trainers by coordinating with local SMEs;
  • Support Quality and Readiness Reviews - Assist in preparing for documentation quality checks and readiness reviews and support final validation before handover to new teams;

  • Ability to manage multiple tasks, deadlines, and meetings across regions
  • Skilled in maintaining structured trackers, timelines, and action logs
  • Clear and professional verbal and written communication
  • Able to effectively coordinate with local SMEs and central transition team
  • Good facilitation skills for meetings and workshops
  • Strong focus on accuracy when tracking progress and updating reports
  • Proactive in identifying missing information or delays in documentation
  • Team-oriented mindset with a willingness to support others
  • Comfortable working in a matrix structure and across different functions
  • Proficient in MS Excel, PowerPoint, Word, and other collaboration tools (e.g., SharePoint, Teams, Confluence)
  • Experience with status tracking dashboards or project tools is a plus
  • Strong proficiency in English (spoken and written) is required; knowledge of other European languages is a plus depending on the regional scope

Professional Profile

  • 3–5 years of general work experience in administrative coordination, project support, operations, or business process‑related roles.
  • Prior experience working in cross‑functional teams or regional project environments is preferred.
  • Demonstrated strong self‑management skills and the ability to coordinate multiple stakeholders without formal managerial authority.
  • Comfort working in matrix or non‑hierarchical settings.
  • Experience with documentation tracking, workshop organization, or transition support is considered an asset.

Your Background

  • A Bachelor’s degree in Business Administration, Operations, Project Management, or a related field is preferred.
  • Equivalent experience in a business support or coordination role may be considered in place of formal education.
  • Additional certifications in project coordination, process documentation, or office administration are advantageous.
