Title Transcript Specialist

Department: Registrar's Office

Division: Academic

Supervisor: Registrar

Status: Full Time (39 hours per week)

Pay Rate: $13.50/hour

Job Purpose

Manage and maintain accurate student transcript records, including evaluations, credit transfers, SCP credits, course audits, and withdrawals. Provide support to students and campus offices by answering inquiries, fulfilling requests, and educating stakeholders on transcript-related matters.

Essential Functions and Responsibilities

  • Respond to inquiries about transcript evaluations, requests, audits, SCP credits, and withdrawals via phone, email, and in person.
  • Process transcript requests and manage the request portal.
  • Maintain and update student records (transcripts, grades, credits).
  • Evaluate transcripts and process transfer credits.
  • Collaborate with Records and Reporting position to complete academic status updates and reporting as well as maintain accurate GPA records.
  • Collaborate with the Registrar to establish appropriate policies for course equivalencies and credit transfers.
  • Partner with Admissions and Student Support teams to educate on credit transfer policies and best practices, including SCP credits and leveling work.
  • Partner with Dual Enrollment Office to service dual/concurrent enrollment student transcript requests and maintain accurate transcript records.
  • Ensure FERPA compliance in all record handling.
  • Manage TES setup, data entry, and train staff as needed

Other Duties and Responsibilities

  • Inform students of leveling work requirements as needed, keeping documentation on leveling work up to date.
  • Assist in registration processes.
  • Assist with degree audits to verify graduation requirements.
  • Assist with graduation rehearsal and commencement each semester.
  • Assist the Registrar’s office in any additional matters as needed.
  • Maintain accurate documentation on policies and procedures related to areas of responsibility.

Knowledge and Skills

  • Bachelor’s degree required
  • Strong interpersonal and task management skills
  • Highly detail-oriented with excellent organizational skills
  • Excellent problem-solving skills
  • Proficient in Microsoft Office Applications (Word, Excel, etc.)
  • Able to master various student information management systems
  • Ability to work effectively amidst interruptions
  • Demonstrated ability to work independently and collaboratively
  • Familiarity with student information systems is a plus
  • Knowledge of FERPA regulations and accreditation requirements is preferred
  • Prior experience in a registrar's office or similar educational environment is preferred

Fiscal Responsibility

  • None

Extent of Public Contact

  • Regular interoffice communication, primarily with administration, faculty, and staff
  • Communication with external vendors and partners (e.g., loan companies, verification companies, etc.)
  • Occasional communications with outside organizations interested in acquiring student information

Physical Demands

  • Normal fitness for general office duties

Working Conditions and Environment

  • Ability to take classes at the institution with prior scheduling approval by the Registrar
  • Occasional mandatory overtime during high volume times of the year (orientation, graduation, etc.)

This position is restricted to current SEBTS students and spouses of SEBTS students.
