The Transaction Coordinator I supports all aspects of the contracting and closing process from winning bid to funded transaction. This role is responsible for document review and approval, closing company assignment, title document collection, data management, and communication with buyers, agents, lenders, closing offices, and third-party vendors to ensure timely and accurate transaction completion.
This position also serves as a primary point of contact throughout the transaction lifecycle and requires a high volume of inbound and outbound phone calls and email communications. The Transaction Coordinator is responsible for addressing customer questions and concerns, providing transaction updates, coordinating activities among multiple parties, and ensuring a positive customer experience while meeting established service level expectations and performance metrics.
Responsibilities/Duties
All areas of responsibility listed below are essential to the satisfactory performance of this position by any/all incumbents, with reasonable accommodation, if necessary. Any non-essential functions are assumed to be other related duties as assigned.
• Handle a high volume of inbound and outbound phone calls and email communications related to active real estate transactions.
• Serve as a primary point of contact for buyers, agents, lenders, closing companies, and third-party vendors throughout the transaction process.
• Address customer inquiries, concerns, and escalations professionally, accurately, and in a timely manner.
• Coordinate transaction activities and facilitate communication among all parties to ensure deadlines and closing requirements are met.
• Respond to email and phone messages within 24 hours.
• Review and complete daily review of assigned transaction pipeline.
• Complete assigned offers within established KPI and service level expectations.
• Audit buyer-executed Purchase and Sale Agreements, Earnest Money Deposits, Proof of Funds, and Entity Documents, when applicable.
• Partner with the Accounting team to resolve funding variances and ensure proper application of funds received on active offers.
• Review transaction documentation for completeness, accuracy, and compliance with company requirements.
• Follow established online contract process workflows and procedures.
• Maintain open communication with team members and leadership regarding pipeline status, transaction issues, and customer concerns.
• Support timely collection of required title documents, closing information, and transaction deliverables.
• All other duties as assigned.

The good faith base wage range for this role at the time of posting and hire is $25-$28 per hour. Actual compensation offered will be determined based on a number of factors, including but not limited to a candidate’s qualifications, skills, competencies, experience, and geographic location.

In addition to base salary, this position is eligible for an annual performance bonus.
