Transaction Coordinator – California Real Estate | Remote

Position Type: Full-Time, Remote | 1099 Independent Contractor
Compensation: $1,500–$2,000/month
Reports To: Managing Broker
California Real Estate License: Not Required

About the Role

At Pavago, one of our clients, TurboHome Brokerage, is hiring a detail-oriented Transaction Coordinator to manage the administrative and compliance side of California residential real estate transactions from executed contract through close of escrow.

TurboHome is a fast-growing, tech-enabled California brokerage. In this role, you’ll serve as the operational backbone behind its agents—keeping transaction files organized, contractual deadlines on track, required disclosures complete, and documentation audit-ready.

This is an excellent fit for someone who understands California real estate transactions, DocuSign Rooms, contracts, disclosures, and escrow timelines and can manage multiple active files without letting details slip.

What You’ll Own

Transaction Coordination

  • Open and manage transaction files in DocuSign Rooms
  • Coordinate transactions from executed purchase agreement through close of escrow
  • Maintain accurate transaction checklists, documentation, and status updates
  • Support multiple agents and concurrent transactions
  • Ensure every file progresses smoothly toward closing

Contract & Compliance Review

Review contracts, addenda, and disclosures for completeness and compliance with:

  • California DRE requirements
  • Brokerage policies and procedures
  • Transaction recordkeeping standards

Identify missing signatures, forms, dates, or documentation before they become compliance issues.

California Disclosures

Collect, track, and confirm execution of required California disclosures, including:

  • TDS
  • NHD
  • SPQ
  • AVID
  • Other applicable buyer and seller disclosures

Maintain complete, organized, and audit-ready transaction files.

Deadline & Contingency Management

Track and calendar critical contractual deadlines, including:

  • Inspection periods
  • Loan contingencies
  • Appraisal contingencies
  • Other contingency periods
  • Close-of-escrow dates

Proactively communicate upcoming deadlines and flag anything at risk of being delayed or missed.

Document & Signature Coordination

  • Prepare and route transaction documents for signature
  • Manage e-signature workflows through DocuSign and similar platforms
  • Confirm documents are properly executed and returned
  • Maintain accurate versions of contracts, addenda, disclosures, and supporting documentation

Agent, Client & Vendor Communication

Serve as a coordination point between:

  • Real estate agents
  • Buyers and sellers
  • Escrow and title officers
  • Lenders
  • Vendors

Provide clear updates, follow up on outstanding items, and help keep everyone aligned throughout the transaction.

Closing & Transaction Support

Coordinate ancillary transaction requirements such as:

  • Home warranty orders
  • Repair documentation
  • Vendor scheduling
  • Outstanding closing documentation

Ensure transaction files remain complete and organized through close of escrow.

What Makes You a Strong Fit

You:

  • Know how California residential transactions move from contract to close
  • Are highly organized and deadline-driven
  • Catch missing documents and details before they become problems
  • Can confidently manage several active transactions at once
  • Communicate professionally with agents, clients, lenders, and escrow teams
  • Follow up proactively rather than waiting to be reminded
  • Maintain clean and compliance-ready transaction files

Required Experience & Skills

  • 1–3+ years of experience as a:
    • Transaction Coordinator
    • Escrow Assistant
    • Real Estate Transaction Support Specialist
    • Similar real estate operations professional

  • Experience with electronic signature platforms
  • Strong organizational and deadline-management skills

A California real estate license is not required for this position.

  • Experience supporting multiple real estate agents simultaneously
