Job Description

SUMMARY

The Training Specialist, Transfer Agency is responsible for the development, facilitation, and coordination of Ultimus’ formal training programs for the Account Services and Control Accounting teams. Additionally, this role also manages the creation and delivery of training materials, tracks required associate trainings and certifications and ensures effective execution of all training initiatives.

KEY ACCOUNTABILITIES

  • Designs, develops, updates, and delivers high-quality training materials and programs, including presentations, job aids, quick reference guides, e-learning modules, and video content.
  • Leads and coordinates the Account Services and Control Accounting training program, ensuring alignment with business needs and organizational goals.
  • Evaluates training effectiveness through surveys, feedback, and performance metrics; provides insights, reporting, and recommendations for continuous improvement to leadership.
  • Partners with internal teams and stakeholders to identify training needs related to new hires, process updates, system implementations, and organizational changes, ensuring timely and relevant training solutions.
  • Develops and manages the training calendar to ensure efficient planning, coordination, and delivery of training initiatives.
  • Supports new associate onboarding by creating and executing customized training plans to ensure successful integration and role readiness.
  • Maintains accurate records of associate training progress, certifications, and completion to ensure compliance and tracking.
  • Develops and maintains training documentation, including internal guidelines and standard operating procedures, to support consistency and knowledge sharing.
  • Stays current on Account Services and Control Accounting processes, systems, and industry trends to ensure training content remains accurate and relevant.
  • Actively pursues professional development through educational opportunities, internal training, and networking to enhance training effectiveness and expertise.

WORKING RELATIONSHIPS

  • Mentors associates through instruction, coaching, providing real-time on-the-job experiences, modeling effective practices, and advising on methods used.
  • Collaborates with key stakeholders to design, enhance, and continuously improve training materials and programs, incorporating feedback and supporting training logistics (e.g., technology and setup).
  • Communicates with internal teams to address training-related inquiries, resolve issues, and support reporting needs.

May perform other duties as required and assigned.

EDUCATION AND EXPERIENCE

  • Associate’s degree in communication, accounting, or similar field.
  • 5-10+ years of experience in Mutual Funds processing with training experience or similar background.
  • Equivalent education, experience, and KSA’s will be considered.

KNOWLEDGE

  • Online learning resources.
