Job Description

Employment in this role is conditional upon successful execution of the contract by the client.

The Work

The Training Records Specialist is responsible for National Archives and Records Administration (NARA) compliant handling and disposition of archived training program course material and class records.

Responsibilities

Key Responsibilities

  • Coordinates the records program for the Office including the identification, storage, archiving, and destruction of records covered by NARA and State Department guidelines
  • Collaborate with the Accreditation Manager on Federal Law Enforcement Training Accreditation (FLETA) Standards requirements for records management to include course syllabi, lesson plans, class rosters and other training materials
  • Coordinate with instructors and training coordinators to ensure completion of course records packets for each class
  • Update course records packets templates
  • Communicate with Program Offices on a weekly or monthly basis to notify them of course records packets status
  • Maintain the publications room
  • Conduct course records management information sessions at the Instructor Development Course
  • Generate, collect and maintain physical accountability records
  • Serve as Bureau Records Coordinator with the Diplomatic Security Archives and Management Office.
  • Other duties as assigned.

Qualifications

  • High School diploma, associate’s degree preferred; together with 3 years’ work experience in records management, logistics or other related discipline
  • Knowledge of records disposition schedules, life cycle of records, documentation and relevant roles and responsibilities
  • Knowledge of NARA rules and regulations and experience as a Records Administrator at the Federal/NARA level preferred
  • Knowledge of Federal office management policies, practices, and procedures preferred
  • Secret Clearnce is required.
  • Due to the nature of work at the client’s site, U.S. Citizenship is required.
  • Must be able to pass a background check. May require additional background checks as required by projects and/or clients at any time during employment.

Minimum Skills:

  • Ability to handle multiple tasks simultaneously
  • Ability to work independently
  • Excellent written and oral communication skills in English
  • Must be proficient in the use of Microsoft applications (MS Word, PowerPoint, Outlook, and Excel).

Working Conditions

  • Professional office environment.
  • Ability to work on-site at client’s facility.
  • Must be physically and mentally able to perform duties extended periods of time.
  • Ability to use a computer and other office productivity tools with sufficient speed to meet the demands of this position.
  • Must be able to establish a productive and professional workspace.
  • Must be able to sit for long periods of time looking at computer screen.
  • May be asked to work a flexible schedule which may include holidays.
  • May be asked to travel for business or professional development purposes.
  • May be asked to work hours outside of normal business hours.
