Job Description

The Training Operations Specialist is responsible for the detailed coordination and execution of multi-day sales training programs. The Specialist ensures all logistics, timelines, vendor coordination, and financial processes are handled thoughtfully and consistently.

The Training Operations Specialist reports to the Manager of Training & Events and operates from the Corporate office in Arlington, VA, with limited travel.

Major Areas of Accountability

Program & Event Operations

  • Lead operational planning and execution of in-person and virtual sales trainings (NHT, Masterclass, RBD Summit, regional meetings, and field training)
  • Develop and maintain detailed project plans, timelines, and checklists aligned to

program scope

  • Coordinate logistics including travel, venues, catering, AV, shipping, and materials
  • Manage attendee communications and confirmations
  • Maintain organized documentation to prevent operational gaps and proactively

address logistical risks

  • Provide onsite and virtual execution support as needed

Financial & Administrative Operations

  • Process and track training-related expenses, including receipt collection, PO creation, invoice reconciliation, and Concur submissions
  • Maintain accurate budget trackers and financial documentation
  • Coordinate vendor communication and payment workflows
  • Ensure compliance with internal financial policies and timelines

Project Management & Coordination

  • Track deliverables and dependencies across trainings
  • Monitor progress and proactively flag risks or delays
  • Maintain centralized documentation and source-of-truth trackers
  • Support cross-functional alignment on deadlines and expectations

Systems & Data Support

  • Maintain training records, rosters, and operational data
  • Support LMS, scheduling, and reporting workflows
  • Partner with analytics and systems teams to improve operational tools and automation

Continuous Improvement

  • Identify opportunities to streamline workflows and improve efficiency
  • Contribute to the development and maintenance of SOPs, templates, and best practices
  • Participate in post-training reviews and process enhancements
  • Anticipated travel: approximately 10%

Basic Qualifications

  • 2+ years of experience in event coordination, training operations, or program support
  • Strong interpersonal skills with the ability to build rapport and communicate proactively with sales teams, new hires, and cross-functional partners
  • Exceptional attention to detail and ability to independently manage complex logistics
  • Proven track record executing multi-day events on time and without operational gaps
  • Experience coordinating travel, venues, vendors, and related financial documentation
  • Strong organizational, project management, and communication skills.
  • Proficiency in Microsoft Office and collaboration tools.
  • Ability to work independently in a fast-paced, deadline-driven environment.

Preferred Qualifications

  • Associate or bachelor’s degree from an accredited college or university preferred
  • Experience supporting events or sales training programs (healthcare or medical education preferred)
  • Experience using Microsoft Teams and Teams Planner (or similar collaboration and project tracking tools)
  • Familiarity with Concur and basic expense or procurement processes
  • Experience working cross-functionally in matrixed organizations
  • Exposure to LMS or workflow automation tools
