The Training & Onboarding Scheduler supports the coordination and execution of New Hire Orientation (NHO), onboarding activities, and requested training across both Operational Workforce teams and Corporate/Administrative personnel. This role serves as a central point of coordination between operations, subject matter experts (SMEs), safety trainers, and CEC University to ensure new hires receive timely, organized, and effective training experiences.
This position is responsible for managing training calendars, coordinating logistics, and maintaining communication with new hires, hiring managers, and instructors. The ideal candidate is highly organized, motivated, and an excellent communicator who thrives in a fast-paced environment supporting workforce readiness and organizational alignment.
Key Responsibilities
Coordinate scheduling and logistics for new hires transitioning from New Hire Orientation into structured onboarding programs.
Support onboarding scheduling for both Operational Workforce employees and Corporate/Administrative team members, ensuring required training milestones are aligned with business needs.
Serve as the primary coordinator for requested project-site and operational training, including safety, technical, and professional development courses.
Manage calendars and scheduling commitments for safety trainers, electrical apprenticeship instructors, and internal subject matter experts.
Communicate training schedules, updates, and expectations clearly to new hires, leadership, and operational stakeholders.
Track attendance, confirmations, and rescheduling needs while maintaining accuracy in training records and reporting.
Partner with SMEs to confirm training delivery, materials, and logistical needs.
Maintain onboarding and training schedules within applicable systems and tools.
Provide coordination support for local and remote teams across multiple business functions.
Assist with continuous improvement by identifying scheduling gaps and recommending process enhancements.
Work effectively as a partner with operations, safety, HR, and CEC University leadership.
Perform other duties as needed to support projects, operations, and the department.
QualificationsQualifications
High school diploma required; associate or bachelor’s degree preferred.
Two to five years of experience in scheduling, coordination, training administration, workforce development, or project support preferred.
Experience supporting onboarding programs, workforce training initiatives, or cross-functional coordination strongly preferred.
Familiarity with Learning Management Systems (LMS), scheduling platforms, or workforce tools is a plus
Skills & Abilities
Demonstrated work history showing strong organization and attention to detail.
Excellent communication skills including verbal, written, and interpersonal communication.
Ability to manage multiple calendars, shifting priorities, and deadlines in a fast-paced environment.
Strong collaboration skills with the ability to work across operational and administrative teams.
Ability to motivate and engage new hires through clear communication and coordination.
Proficiency in Microsoft Office suite of products; Word, Excel, PowerPoint, and Outlook.
Ability to initiate and complete self-directed work while maintaining alignment with team objectives
Work Environment & Physical Demands
This job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
Requires mobility within an office environment.
Regularly required to talk and hear. Effectively communicate with others both written and orally, including using the telephone.
Prolonged periods sitting at a desk and working on a computer.
The employee may be required to walk; reach with hands and arms; and bend.
May be required to stoop, kneel, and crouch. Specific vision abilities required by this job include close vision, distance vision, color vision, and ability to adjust focus.

The employee may be required to climb stairs.
Must be able to work 8 hours a day, 40 hours per week, and overtime as required and night or weekend shifts, as needed.
