Job Description

Power your future with Qualus in our Training and Development department as a Training & Development Admin. The Training & Development Admin provides administrative and operational support for QualU boot camps, training programs, and learning initiatives. This role is designed for someone with prior exposure to training, learning and development, HR, or training program support who is interested in growing within the training and development field. The primary focus of the role is supporting boot camp logistics, participant communication, training documentation, records, and program follow-up. The position will provide backup support for LMS administration, reporting, and other Training & Development administrative activities as needed.

Responsibilities

Boot Camp and Training Program Support

  • Coordinate administrative activities for instructor-led, virtual, and blended learning programs.
  • Maintain participant rosters, attendance records, training documentation, and program records.
  • Prepare and distribute participant communications, course materials, certificates, and follow-up resources.
  • Work with internal stakeholders, vendors, and cross-functional partners to support training program delivery.
  • Support internal QualU training communications to promote awareness and participation in programs and offerings.
  • Assist with learner, facilitator, manager, and stakeholder communications related to training schedules, logistics, reminders, and follow-up items.

Training and Development Program Administration, Materials, and Documentation

  • Maintain Teams pages, learning path documents, and program tracking tools to support learner participation, communication, and program administration.
  • Maintain and organize training materials, presentations, recordings, and shared resources to ensure content is accurate, accessible, and aligned with team standards.
  • Review training materials for grammar, formatting, branding, and visual consistency.
  • Partner with Marketing and other departments to help ensure training materials align with Qualus branding standards.

Learning Systems, Records, and Reporting

  • Maintain training metrics and prepare recurring program reports.
  • Provide backup support for LMS administration and HALO ticketing, including course assignments, learner enrollments, basic reporting, ticket intake, routing, follow-up, and related system maintenance.
  • Administer third-party training enrollments and assignments by entering employees into vendor portals, tracking required training, monitoring completion status, and maintaining related documentation.

Program Feedback and Continuous Improvement Support

  • Support continuous improvement efforts by distributing follow-up surveys, compiling feedback, and preparing summary reports.
  • Share feedback, trends, and administrative observations with the Training & Development team to support updates and improvements to training programs and processes.

Minimum Qualifications

  • Bachelor’s degree in Event Management, Business Administration, Communications, Training, Human Resources, or a related field, or an equivalent combination of education and experience.
  • 1 to 3 years of experience supporting training programs, learning and development initiatives, HR programs, event coordination, or related administrative functions.
  • Experience with training administration, learner support, and training coordination required.
  • Experience working with Learning Management Systems (LMS), training reporting, and learner records preferred.
  • Proficiency in Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Forms.
  • Familiarity with Canva or similar communication and design tools preferred.
  • Valid driver’s license and satisfactory driving record, as required for travel to training events, site visits, or program support activities.
  • Ability to read, interpret, and follow company manuals, reports, policies, procedures, and workplace guidelines.
  • Strong written and verbal communication skills with the ability to interact professionally with employees, leaders, and external stakeholders.
  • Strong organizational, administrative, and coordination skills with attention to detail.
  • This role requires the individual be onsite Monday to Friday.
