The Medical Clinic Specialist participates as an essential team member and is responsible for telephone triage, coordination of referrals, scheduling, tracking and follow-up for both internal and outside services. Emphasis on medical terminology and basic understanding of medical insurance rules, concept and knowledge of Electronic Health Records (EHR).
Essential Duties and Responsibilities:
- Communicates effectively with patients, family and the entire patient care team.
- Maintains confidentiality and adheres to HIPAA policies and procedures.
- Triage telephone calls; patient inquiry for nurses, providers, and pharmacy.
- Makes initial contact with specialty provider, schedule appointment, fax referral forms and document in to EHR.
- Ensures appropriate consent forms are signed.
- Schedule patient appointments to outside providers and organizations; Diagnostic testing, OB, Neurology, ENT, Gastroenterology, etc. including professionally filling out forms needed for diagnostic testing, and thus, requiring medical terminology knowledge.
- Reschedules/cancels appointments, communicates changes with nursing staff and Purchased Referred Care (PRC) as necessary.
- Serves as contact person for pharmaceutical representatives and schedules meeting with pertinent staff.
- Contact Public Health staff to schedule transports to outside providers and organizations as necessary.
- Maintains current list of outside specialty providers and organizations.
- Review information with patients pertaining to insurance coverage and verify PRC eligibility.
- Provide excellent customer service for all internal and external customers of the operations at all times. Provide solutions for customer concerns and continually focus on customer service as our top priority.
- Must maintain strict confidentiality and present a positive, professional demeanor and image at all times.

Minimum Qualifications:
- Must be at least 18 years of age with a high school diploma or equivalent.
- Must have one year experience working in an office environment.
- Must have knowledge of medical terminology, understand procedures, and diagnosis.
- Must be able to pass background check to meet the employment eligibility requirements as they pertain to the position.
License, Certification, or Special Requirements:
- Ability to obtain HIPAA Certification and BLS Certification within thirty days of hire.
- Native American preference shall apply to all positions.
Knowledge, Skills, and Abilities:
- Knowledge of medical office procedures and terminology.
- Knowledge of medical billing procedures.
- Knowledge of handling telephone triage and scheduling appointments.
- Knowledge of medical insurance forms and terms of coverage.
- Skill in prioritizing workload consistent with patient medical care needs.
- Skill in operating business computers and office machines including in a Windows environment.
- Ability to communicate effectively both verbally and in writing.

Physical Demands:
- Frequent use of hands, wrists, fingers associated with computer equipment.
