Key Responsibilities:

1. Building Administration & Operations Support

  • Manage day-to-day administrative operations across office, manufacturing, and R&D environments within the facility.
  • Coordinate and optimize workspace allocation (assigned seating, floating space) across multiple Lines of Business (LOBs).
  • Support start-up activities by coordinating project logistics, including meeting planning, action tracking, and documentation control.
  • Consolidate and track start-up reports, Steering Team presentations, and key operational metrics, ensuring timely updates and alignment across stakeholders.
  • Manage calendars, leadership meetings, and cross-functional reviews for l eadership and core teams.

2. Cross-Functional Coordination & Communication

  • Act as a central coordination point between internal LOBs and external tenants, ensuring effective communication and issue resolution.
  • Support logistics and coordination for CMPT Strategic programs (SWAP activities and China Business Growth/Program Azalea).
  • Organize and manage logistics for visiting engineers, executives, and global teams, including agenda planning, site access, and meeting arrangements.
  • Facilitate structured communication and follow-up through action tracking and reporting mechanisms

3. Procurement & Budget Management

  • Coordinate procurement requests (PR/PO) for administrative and operational needs, including office, lab, and site support resources.
  • Track and monitor budgets across multiple cost centers, ensuring accurate cost allocation across LOBs.
  • Manage invoice processing, payment requests, and financial documentation in compliance with company policies.
  • Support external tenant billing processes, including invoice generation and cost recovery tracking.
  • Partner with finance and procurement teams to ensure cost efficiency and transparency

Qualifications:

  • Bachelor's degree in Business Administration, Management, Office Administration, or a related field preferred.
  • Minimum of 5 years of experience in administrative support, office management, executive assistance, or a related role.
  • Excellent verbal and written communication skills, with the ability to interact professionally at all organizational levels.
  • Strong business English proficiency, including professional writing, correspondence, and presentation skills.
  • Exceptional organizational, planning, and time-management abilities with strong attention to detail.
  • Advanced proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, Outlook, and Microsoft Teams.
  • Knowledge of procurement processes, budget administration, expense reporting, and financial record management.
  • Demonstrated experience in project coordination, event planning, and cross-functional collaboration.
  • Ability to manage multiple priorities, work independently, and maintain confidentiality in a fast-paced environment.
