Job Description
This position supports the daily operations and event-day execution of the Athletics Ticket Office by providing high-quality customer service and transactional support to fans, students, and donors. The role is responsible for processing ticket sales, managing venue box office operations during athletic contests and external events, and ensuring precise financial reconciliation. Through reliable shift coverage and fan-focused problem-solving, this position enhances the overall event experience while supporting department revenue goals across all athletic facilities.
Responsibilities
Ticket Sales & Revenue Support:
- Process walk-up, phone, and online ticket purchases for varsity athletic contests and external venue events to support departmental revenue goals.
Box Office Operations & Software Use:
- Utilize ticketing software and POS systems to accurately issue single-game, season, group, and student tickets during regular office hours and on game days.
Customer & Fan Service:
- Serve as a primary point of contact for patrons, delivering high-quality customer service, answering venue and event inquiries, and resolving ticketing issues efficiently.
Will Call & Game-Day Gate Management:
- Oversee game-day Will Call distribution, player/guest pass lists, and ticket resolution desks at athletic facilities, including Hinkle Fieldhouse.
Cash Handling & Financial Reconciliation:
- Accurately handle cash and credit card transactions, balance cash drawers at the conclusion of shifts, and assist with daily sales batch audits.
Account Maintenance & Administrative Support:
- Update customer account records in the ticketing database, prepare ticket packages for mailing, and provide general administrative support to ticket office leadership.
Operational Availability:
- Maintain reliable shift coverage for routine weekday office operations as well as evening, weekend, and holiday home games or special events.
Required Qualifications
- Education: High school diploma or equivalent.
- Customer Service Aptitude: Strong interpersonal and verbal communication skills with a professional, customer-centric approach to problem-solving.
- Cash Handling & Technical Aptitude: Demonstrated math and basic accounting skills, comfortable operating Point-of-Sale (POS) systems, cash registers, and learning specialized ticketing software.
- Attention to Detail: High accuracy in data entry, account lookup, cash reconciliation, and ticket distribution under fast-paced event conditions.
- Reliability: Proven dependability, punctuality, and work ethic to support time-sensitive ticket office shifts and athletic events.
- Availability: Flexibility to work a variable part-time schedule (10 to 29 hours per week), including regular weekday hours, evenings, weekends, and holidays as dictated by the athletic schedule. PD - Ticketing Assistant (PT)
Preferred Qualifications
- Bachelor’s degree (or active pursuit of a degree) in Sport Management, Business Administration, Communications, Marketing, or a related field.
- Prior experience in a university or professional athletic box office, event ticketing, venue sales, or high-volume customer service/cashiering environment.
- Hands-on experience using ticketing and venue management software systems (e.g., Paciolan, Ticketmaster, AXS, or similar CRM/POS tools).
- Familiarity with Butler University, Hinkle Fieldhouse, and university athletic operations.
