Job Description

1. Tender Preparation and Management:

  • Review of Tender Documents: Thoroughly review tender documents to ensure that all requirements are clearly understood.
  • Identification of Scope of Work: Identify and segregate the scope of work and prepare a checklist for necessary items.
  • Preparing Documents for Tender Submission: Ensure all required documents are accurately compiled for submission.
  • Pre-qualification Documents: Prepare the necessary pre-qualification documents for specific projects.

2. Coordination and Communication:

  • Coordination with Sales: Collaborate with the sales team for further clarifications and prepare Request for Information (RFI) as needed.
  • Internal Coordination: Act as the point of contact between the tender team and other internal departments to ensure all parties are aligned and informed.
  • External Communication: Liaise with clients, suppliers, subcontractors, and other stakeholders to clarify project requirements, gather additional information, or provide updates.
  • Follow-Up on Submissions: Track tender deadlines and ensure that all tenders are submitted on time and in the correct format.

3. Supplier and Subcontractor Engagement:

  • Sending Enquiries to Suppliers: Send out enquiries to suppliers and follow up to obtain quotations.
  • Subcontractor Agreement Review: Review subcontractor agreements to ensure they align with project requirements and standards.

4. Technical Expertise in Waterproofing:

  • Product Knowledge: Maintain a strong understanding of the latest waterproofing materials, technologies, and industry standards to provide accurate technical information.
  • Compliance with Standards: Ensure that all tender submissions meet legal and industry standards related to waterproofing systems, application methods, and quality standards.

5. Administrative Support:

  • Maintain Tender Records: Keep detailed records of all tender submissions, correspondence, and documents related to waterproofing projects.
  • Documentation Filing: Organize and maintain an efficient filing system for both electronic and hard-copy documents, ensuring they are easily accessible for review.
  • Post-Tender Activities: Once the tender is awarded, assist with the handover process, ensuring all documentation is transferred smoothly to the project management team.

6. Project Progress Updates:

  • Updating of Project Submission on Weekly Basis: Regularly update and track the status of project submissions to ensure that deadlines are met and all necessary information is current.
