Job Description

The Tender Specialist is responsible for identifying and preparing tender offers, managing the tender process, and ensuring compliance with quality and regulatory standards, while closely collaborating with cross-functional teams. This role is crucial in securing new projects and maintaining high-quality interactions with customers and stakeholders.

Roles and Responsibilities:

  • Identifying, reviewing and analyzing tender documents and requirements.
  • Collaborating with various departments to gather necessary information for tender submissions.
  • Prepare and compile all necessary documents for tender submissions.
  • Manage the entire tender process from initial inquiry to final submission.
  • Validating tender requirements, highlight risks to the cross-functional teams and prepare clarification requests if necessary.
  • Ensuring all tender submissions are compliant with quality and regulatory standards and meets client requirements and deadlines.
  • Maintaining a database of all tender documents and submissions.
  • Liaising with clients, suppliers, and subcontractors to obtain necessary information and clarifications.
  • Providing regular updates to management on the status of ongoing tenders.
  • Identifying and assessing potential risks associated with tender submissions.
  • Developing strategies to mitigate identified risks.
  • Following-up on submitted tenders and provide additional information as required.
  • Maintaining and continuously updating the CRM platform, ensuring data accuracy and usability.
  • Embracing and exploring AI-powered tools to optimize workflows and support innovation.

Required Qualifications:

  • Bachelor’s degree in Business Administration, Economics, Law, or any related field.
  • Experience in tendering, procurement, or a related field.
  • Strong analytical and problem-solving skills.
  • High attention to details and ability to manage and update complex volumes of data.
  • Excellent written and verbal communication skills.
  • Ability to work under pressure and meet tight deadlines.
  • Strong organizational and time management skills.
  • Digital mindset with openness to learning and adopting AI tools in day-today work
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Fluency in Romanian and English is required.
