Why You’ll Love This Role

To provide efficient and professional tender and commercial administrative support by coordinating the end-to-end preparation, review, approval and submission of RFPs, RFQs, RFIs and vendor documentation. To maintain tender and vendor records, trackers and supporting company documentation, while providing general administrative and procurement support to enable the effective operation of the Commercial and Sales Department.

What you’ll own

  • Coordinate the end-to-end administration of RFPs, RFQs, RFIs and tender submissions, ensuring compliance with internal governance and customer requirements.
  • Review and summarise tender opportunities received from customers, sales teams and external portals, providing recommendations and identifying potential risks.
  • Assess tender scope and requirements, escalating concerns and opportunities to the relevant Commercial and Sales stakeholders.
  • Coordinate the review, approval and submission of legal and commercial documentation, including NDAs, SLAs, Terms and Conditions, Codes of Conduct and Anti-Bribery & Corruption policies, in conjunction with Legal, Compliance and other business stakeholders.
  • Ensure all tender, legal, compliance, quality and supporting documentation is completed accurately and submitted within required deadlines.
  • Prepare professional tender and vendor submission packs for final approval and Director sign-off.
  • Maintain and manage company supporting documentation, vendor records, tender trackers and customer vendor portals.
  • Monitor tender outcomes and provide reporting on wins, losses and trends to support continuous improvement.
  • Ensure tender processes, governance requirements and record management standards are maintained across the Commercial and Sales function.
  • Build and maintain effective working relationships with Sales Executives, Sales Managers, National Customer Managers, Directors and key support functions.
  • Maintain accurate records and documentation on shared business systems, including Sales Drive and Commercial iShare.
  • Support vendor onboarding and customer due diligence processes by completing and maintaining required company information and documentation.
  • Manage office stationery procurement and assist with departmental purchasing activities in accordance with company purchasing policies.
  • Liaise with suppliers to ensure timely delivery of goods and complete goods receipt processes in support of payment administration.
  • Provide secondary support to the Sales Operations Expert by assisting with sales tools administration, data quality, reporting, user support and sales process compliance, while developing a strong understanding of the Sales Executive environment and customer lifecycle.

What we are looking for

  • Post-matric qualification in Business Administration, Sales, Commercial Management or a related field.
  • Minimum 2 years' experience in a tender, commercial administration, sales support or customer support environment.
  • Strong administrative, organisational and document management skills.
  • Experience coordinating multiple deadlines and working with cross-functional stakeholders.
  • High attention to detail and ability to manage confidential information.
  • Proficiency in Microsoft Office and document management systems.
  • Valid driver's licence.
  • Knowledge of DHL products, solutions and sales processes (including COMET) would be advantageous.
  • Understanding of procurement, tender and vendor management processes is preferred.
