Role purpose
The key purpose of the Tenancy Delivery Manager is to lead and champion the shop opening process and timely delivery of tenancies across allocated Centres. This will be done by driving excellence across the Asset team and ensure consistent processes are followed for the tenancy delivery function and positive delivery outcomes are achieved for their allocated Centres. This role will be responsible for monitoring the status of each tenancy deliverable and the coordination of retail tenancy fit outs in established centres. The role is responsible for managing the scoping, pricing, tendering and procurement of work generated by the leasing process. The role assumes responsibility to deliver tenancies to the Tenant in accordance with all lease obligations agreed in the lease and in line with the timeframes agreed for rent commencement.
Key Accountabilities
People Leadership
- All elements of the annual performance cycle are completed by the due date (including goal setting, mid-year reviews, EOY conversations).
- Regular 1:1’s, team meetings and development conversations conducted - minimum monthly cadence.
- Performance issues are managed in an effective and timely manner.
- Quarterly development conversations conducted with all team members.
- 100% of compliance training is completed on time for team.
- All health and safety, risk and compliance requirements are delivered across the team.
- Effective management of budgets as per forecast with demonstrated focus on managing cost.
- Demonstrated commitment to building own capability as a people leader.
Governance, Process & Procedures
- Maintain Vicinity governance / process and procedures for Leasing Design & Delivery.
- Establish and monitor health and safety and environmental responsibilities to ensure compliance with legislation, corporate procedures, and company objectives.
- Scheduling and coordination ability to assist in resolving potential discrepancies between the multiple technical disciplines.
- Visit the shopping centres on a regular basis to monitor progress of Leasing Capital work and tenant fit outs and promote methods to expedite the shop delivery process wherever possible.
- Ensure compliance where owners work requires interface with tenant lease requirements.
- Ensure compliance of all close-out documentation in accordance with contract terms.
Design Projects & Delivery
- Deliver reconfiguration projects in accordance with cost and programme targets.
- Design and technical plan review of architectural, mechanical, electrical, plumbing and vertical transportation drawings. Interface with suppliers and architects to review, comment and approve construction drawings ensuring owners responsibilities.
- Collaborate with tenants when owners work affects existing tenants.
- Efficiently track and/or manage the scheduling of all leasing driven capital work and manage planning and permit submissions to all applicable local jurisdictional agencies.
- Attend recurring action/asset meetings to ensure awareness of all aspects of the shopping centre, especially on issues that pertain to leasing funded capital works.
- Supervise the schedule of works to ensure contractors and shopfitters complete their work on or before the agreed contract schedule. Conduct site inspections and meetings with architects, contractors and building inspectors, where necessary.
- Participate in and drive regular shop opening status meetings recording milestones and deadlines.
- Respond to RFI’s in the required timeframe as agreed with Leasing.
Stakeholders Management
- Build strong relationships with external stakeholders to award and manage work.
- Drive performance and commercial outcomes, develop talent and capability.
- Develop strong relationships with external contractors and consultants to tender and award work.
- Perform detailed punch list inspections throughout the construction of each leasing capital works project and promptly issue a final written copy to the contractor upon the completion of each project.
- Consistently maintain professional and appropriate demeanour when interacting with business partners and customers.
- Proactively consult, engage, and listen to all team members and make sound decisions in a transparent manner.

Experience & Capabilities
ESSENTIAL EXPERIENCE (what you have done)
- A degree in Construction Management and/or equivalent experience.
CRITICAL KNOWLEDGE (what you need to know)
- Strong, demonstrated knowledge of Mechanical, Electrical & Fire Life Safety building infrastructure systems as well as a sound understanding of architectural and structural building components.
- Excellent verbal, written, visual, and negotiating communication skills and aptitude with both internal and external entities.
- Ability to present cost plans, scheduling and tracking to set targets and objectives.
- Demonstrated proficiency in Microsoft Office (Word, Excel, PowerPoint), Bluebeam/Adobe Acrobat, Project Scheduling Applications & Project Budgeting Software.
- Organised, goal oriented, ability to develop and maintain effective relationships and works well in small and large groups.
