The County of Riverside’s Department of Human Resources - Temporary Assignment Program (TAP) has an opportunity for a Temporary Supervisor's Board Assistant to support the Board of Supervisors' Fifth Supervisoral District. This is temporary position located in Riverside.

This position performs the full range of clerical and secretarial duties from trainee through advanced level secretarial work in the Board of Supervisors' Office, or in direct support of the Board of Supervisors. Assignments are rotated frequently and require staff to be knowledgeable in the functions, services and operations of County government so they can respond effectively to a multitude and variety of inquiries. Incumbents are required to properly deal with sensitive and confidential information and must exercise the highest level of judgment and tact.

Those assigned the more complex duties may perform lead duties over incumbents performing more routine assignments.

This class has been designated At-Will by the Board of Supervisors, in accordance with the provisions provided under Article 6, Section 601E (3) of the County Management Resolution and serves at the pleasure of the individual Supervisor.

This position will provide support to the Programs and Policy Team.

Part-time hours: 25-30 hours a week.

Desirable experience and/or skills:

Meet the Team!

The Board of Supervisors is the governing body of the County, certain special districts and the Housing Authority. The Board enacts ordinances and resolutions, adopts the annual budget, approves contracts, appropriates funds, determines land use zoning for the unincorporated areas, as well as appoints certain County officers and members of various boards and commissions.

The Fifth District is one of the most diverse regions in the county, stretching from Moreno Valley to Cabazon and from Hemet up to Calimesa, and includes two sovereign tribal nations. It is home to signature destinations such as the Lavender Festival, Lake Perris, the Cabazon Outlets, and the Edward-Dean Museum & Gardens. The district encompasses the cities of Moreno Valley, San Jacinto, Hemet, Calimesa, Beaumont, and Banning, as well as the unincorporated communities of Banning Bench, Cherry Valley, Cabazon, Nuevo, Lakeview, Reche Canyon, Poppet Flats, and San Timoteo.

Examples of duties

  • Answer telephone and public counter inquiries pertaining to Board meetings and activities.
  • Receive and screen a variety of visitors and telephone callers; ensure that inquiries are promptly answered or referred to appropriate sources; answer questions involving searching for and summarizing technical data, laws, policies, or procedures.
  • Answer routine, difficult and hard-to-handle inquiries from all County departments and agencies and the public regarding the County.
  • Provide information to the public or interdepartmental representatives in situations where judgment and interpretation of departmental policies and regulations are required; gathers and summarize data on a wide range of subjects requiring knowledge of the functions, services and operations of County departments.
  • Design or revise office forms; perform complex clerical work requiring the application of laws, policies, procedures, and specialized terminology; prepare and process materials which require the review of complex source material and a thorough familiarity with policies, procedures, terminology, and various applicable laws in order to obtain the necessary data.
  • Establish and maintain complex filing systems of confidential and administrative materials.
  • Screen incoming correspondence and follow up to ensure that deadlines are met; arrange correspondence for the Supervisor's personal reply in order of priority with appropriate background material attached for reference.
  • Initiate replies to routine correspondence; compose correspondence and other materials requiring the application of subject matter knowledge and discrimination in the selection of data.

Qualifications

The minimum qualifications, skills, knowledge, and abilities are determined by the appropriate member of the Board of Supervisors, but typically include:

Education: Graduation from high school or attainment of a satisfactory score on a G.E.D. test.

Experience: Two years of clerical experience, at least one year of which included program support, project support, and tracking and reporting on program & project data and insights. The non-specialized experience may be substituted for by either completion of:

18 semester or 27 quarter units from an accredited college or university in secretarial sciences, office practices, business education, or a closely related field.

OR

360 hours of training from an accredited occupational training program in secretarial sciences, business education, or a closely related field.

Knowledge of: Office practices and procedures followed to process a variety of documents and provide clerical support to the Board of Supervisors and Clerk of the Board; methods, procedures and filing systems used to record, store and retrieve Resolutions and other records of Board actions.
