The Opportunity

Mosaic is seeking a Front Desk Administrative Assistant to join our Nanaimo office on Vancouver Island, British Columbia, for a temporary three-month term, with the possibility of extension.

The Role

Reporting to the HR Manager, the Front Desk Administrative Assistant serves as the first point of contact for visitors and provides administrative support to help ensure the smooth day-to-day operation of the office. Specific responsibilities include, but are not limited to:

  • Reception duties, including greeting visitors, answering phones, responding to general office inquiries and maintaining a welcoming and organized front desk area;
  • Coordinating day-to-day office operations, including maintaining a neat and orderly workplace, arranging office maintenance, monitoring and replenishing kitchen supplies and corresponding with vendors and contractors;
  • Providing general administrative support, including managing incoming and outgoing mail and couriers, coordinating office access, ordering and distributing office supplies and processing invoices, meeting support; and
  • Other administrative duties as assigned.

What We’re Seeking:

  • Post-secondary diploma in Office Administration (or equivalent);
  • 2+ years of experience in reception or administrative support;
  • Strong communication and interpersonal skills;
  • Strong organizational skills and attention to detail; and
  • Strong computer skills, including proficiency with Microsoft Office applications.

Compensation

The hourly wage range for this position is $27.00–$30.00, dependent on the successful candidate’s qualifications and experience.
