Your work environment at EXP
EXP is currently seeking a Facilities Administrator to work alongside the Facilities Team for their Central Canada Region. This Administrator will help with managing preventative maintenance schedules for all equipment and grounds located in our offices and lab locations, assist with management of offsite file retention, assist with tracking all our assets in our labs, ensure that vendors are maintaining contracts that are in place and assist with RFP preparations Applicant will need to be well -organized and be able to prioritize as required.
What a day at EXP has in store for you
Assist with maintaining current vendor contact list for all maintenance contractors at each of our office locations. This would include tracking of account number, service location, rep contact name and any information related to contracted pricing
Keep / maintain updated records in security software and other software as required
Review invoicing on an ongoing basis to ensure billing received matches contracts in place
Liaise between vendors, internal stakeholders, and accounting department to ensure invoices funneled through the department are approved, processed in an accurate and timely manner
Assist as needed with planning for post-Covid19 work environment. Looking at current office spaces to see where and what the company can do to make a more collaborative and safe work area for our employees
Assist with the preparation and maintenance of our current RFP process when looking to update vendors for building maintenance, acquire pricing for projects as directed by Facilities Director or Facilities V.P.
Provide any administrative support to any other member of the Facilities team as required, and any future projects as assigned
What your experience looks like
Minimum 2-3 years prior experience in an administrative role
Must have excellent command of the English language, including verbal and written communication.
Organized, attention to detail, the drive to produce results and ability to multi-task as required
Skillful in Microsoft Office 365, includes Word, Excel, Power Point, Teams and Publisher
Positive attitude and team player
Be able to travel to office locations as requested

The salary range for this role is between $38K - $40K The actual compensation packages are based on several factors that are unique to each candidate, including but not limited to skill set, depth of experience, certifications, and specific work location.
