Job Description

of Role

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive support to our VP team. The ideal candidate will serve as a trusted partner, ensuring the smooth operation of daily activities and enabling the executives to focus on strategic priorities. This role requires excellent communication, multitasking, and problem-solving skills, as well as the ability to handle sensitive and confidential information with discretion.

This hybrid role, with a 4-day in-office work schedule, is based in San Jose, CA.

Responsibilities

  • Manage and maintain VPs calendars, schedules, and appointments, including coordinating meetings, conferences, and travel arrangements.
  • Coordinate travel itineraries, including flights, accommodations, and expense reporting.
  • Plan, coordinate and host on-site meetings for customers and employees.
  • Prepare and edit correspondence, presentations, reports, and other documents on behalf of the executive team.
  • Act as the primary point of contact for internal and external communications, ensuring timely responses and follow-ups.
  • Manage logistics for meetings, including preparing agendas, taking minutes, and distributing follow-up action items and ensuring closure.
  • Provide regular account team logistical support to ensure smooth daily operations including but not limited to high level program tracking.
  • Handle confidential information with the utmost discretion and professionalism.
  • Maintain and organize files, documents, and records in a systematic manner for easy access.
  • Liaise with different departments and stakeholders to facilitate communication and ensure alignment with executive priorities.
  • Anticipate the needs of VPs and proactively address them to ensure efficiency in day-to-day operations.

Minimum Qualifications

  • Proven experience as an Executive Administrative Assistant or similar role, supporting senior-level executives.
  • Proficiency in office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
  • Strong organizational, time-management, and multitasking skills with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • High level of discretion and ability to handle confidential information.
  • Attention to detail and problem-solving skills.
  • Ability to work independently and collaboratively in a fast-paced environment.

Preferred Qualifications

  • Bachelor’s degree or equivalent experience preferred.

The range displayed reflects the minimum and maximum target for new hires. Actual pay may be more or less than the posted range.
