The Construction Coordinator is responsible for managing all aspects of maintaining the site construction office and assisting the Project Superintendent with the administrative responsibilities involved in overseeing the construction process.
This is an on-site role located in Shelbyville, IN and is expected to last through September 2027. Responsibilities include:
General administrative duties to support POET Bioprocessing projects. Performs complex and confidential administrative functions including developing, typing and performing written or verbal correspondence. Responds to routine external correspondence.
Attend requested meetings in order to record minutes or represent the company. Prepare agendas, compile, transcribe, and distribute minutes of meetings.
Review and process necessary project submittals, internal documents, contract and bid documents, invoices, and project related correspondences.
Update, organize, and distribute project drawings.
Track delivery statuses of project purchase orders and verify that materials and equipment have been ordered and delivered as needed.
Receive and organize all materials and equipment delivered to the site for the purpose of constructing the project, using a forklift as needed.
Document receipt of all materials and equipment on site, cross-reference with purchase orders to verify accuracy, and distribute delivery receipts.
Track the location and distribution of all materials and equipment on site to contractors.
Coordinate with the Project Superintendent and other team members regarding deliveries, order check-in, organizing warehouse and construction offices, and distribution of materials to contractors.
Coordinate the paperwork necessary for change orders and distribute to the appropriate parties.
Maintain the POET Bioprocessing document management standards and protocol.
Monitor project documentation for compliance to POET Bioprocessing standards. Observed deficiencies will be reported to responsible parties.
Inform Project Managers and Engineers of critical information and retain copies of any documentation and correspondence requiring follow-up.
Organize, stock, and maintain the construction office.
Create and maintain various databases and spreadsheet files as requested by managers.
Assist other departments as requested or assigned.
Foster a culture of safe behavior and environmental compliance at all times.
Maintain a team environment at all times and champion POET in the community.

High school diploma or equivalent required.
Experience operating a forklift is required.
Ability to coordinate multiple tasks for a large professional team.
Highly professional and assertive. Must communicate precisely and accurately to internal team members, contractors, vendors, etc.
Excellent organizational, time management, and communication skills as well as the ability to embrace change.
Knowledge of the basics of Microsoft Office Suite and the ability of learning new programs.

Team members will be required to adhere to all safety requirements at all times and in all work environments. You should expect a balance between time spent in the office and at the construction site, which may include some physical labor helping your team members. You may be exposed to high noise levels, moving mechanical parts, dusty conditions, internal and external temperature/weather conditions, and chemicals.
In this role, you’ll be asked to drive a POET vehicle. A motor vehicle record check will be conducted during the pre-employment process.
This role has some physical requirements that our team members will need to be able to perform, such as:
Occasionally lifting weight up to sixty (60) pounds.
Occasionally bending, twisting and turning while lifting weight of less than fifty (50) pounds.
Data entry while seated for greater than one (1) hour.
Walking up to two (2) or more miles per day.
Pushing brooms, shovels, etc.
Working at heights.
Standing for extended periods of time.
Wearing Personal Protective Equipment (PPE).
Using hand and power tools.
