Role Title: Technology Support Senior Specialist

B. CONTEXT
Purpose The Technology Support Senior Specialist will provide support to the CTIO monitoring and tracking the execution of all tasks delegated by the CTIO to different stakeholders. In depth knowledge of technology processes and landscape will be required, together with detailed acquaintance with stakeholder outside technology e.g. Sourcing, Finance, Strategy, Facilities etc. to communicate on behalf of the CTIO.
This role will also provide day to day support will all secretarial and administrative functions for the CTIO and Technology Directors.
Context Technology & Information is responsible for development and planning of the long/medium term technology network roadmap and architecture for both network and IT in line with corporate overall strategic requirements and technology strategy and to ensure that all network and it projects are aligned with the medium-term Network roadmap.
U9 continuously initiates strategic projects around technological advancement, operational efficiency and cost-reduction plans. The Portfolio & Project Management team is the command center for large projects, collaborating between business and technical teams while applying project management frameworks to facilitate successful delivery of our strategic initiatives.
C. ROLE ACCOUNTABILITIES
- Maintain an accurate tracker for all activities delegated by the CTIO to different stakeholders of the organization
- Manage the communication with all stakeholders within the organization, including Senior Management, to facilitate and expedite the execution of delegated tasks
- Monitor progress of current projects against implementation plans, continuously tracking tasks against set scope, timelines, budget, resources and milestones using a variety of project management and internal tracking tools
- Observe and manage interdependencies across functional teams with a view to anticipating risks, issues and changes in project plans and scope
- Participate in meetings with project teams, business and technical stakeholders to share and discuss status and issues
- Maintain strict confidentiality standards for all CTIO-related information
- Maintain diary, arrange meetings and appointments, and provide reminders
- Send and reply to emails and meeting invitations on behalf of CTIO
- Organize meetings and ensure the CTIO is well-prepared and briefed from the meeting for the meeting
- Co-coordinate and independently plan all travel itineraries (i.e., flight bookings, hotel accommodation, local ground/ car transfer, etc.) for CTIO and Technology directors
- Produce reports, presentations, and briefs
- Organize and maintain contracts, records, and other essential documents, archive outdated information in accordance with records management compliance
- Other relevant duties as per assigned
- Manage day-to-day operational and administrative activities of CTIO.
- Maintains budget information and manage PO/PR process for Technology.
- Manage the process of Import Permit for the whole Technology by working closely with Finance/Sourcing.
- Perform any other duties based on own initiatives in accordance with the guideline and instruction from CTIO.
- Act as a primary point of contact for all internal and external communications with the CTIO.
- Support to complete the variety of special projects including creating PowerPoint presentations, reports, agenda material.

F. EXPERIENCE AND QUALIFICATIONS
Minimum Experience & Essential Knowledge
- 5 – 10 years' work experience, with at least 2 years in a PMO or project coordination role within the telecoms industry
- Demonstrated ability to apply project management tools for effective monitoring and execution of project tasks and deliverables
- Experience interfacing with business and technical program teams in a professional manner, resolving issues and discussing risks and decisions in a collaborative setting
- Expertise in Microsoft Office applications, with advanced level knowledge of Microsoft Project, PowerPoint, Excel and Word
- Strong interpersonal and communication skills
- Exceptionally detail oriented and highly organized
Minimum Entry Qualifications
- Bachelor's degree from a recognized university, ideally in business administration or engineering
- Prince2 or PMP Certification training is preferred but not mandatory
