What You'll Be Doing

The Technology Office & Workforce Administrator provides comprehensive administrative and operational support to the Information Technology office, ensuring the smooth day-to-day functioning of an office. Performs standard Administrative Assistant assignments as well as traditional office administration with workforce-support coordination—partnering with IT leadership, Human Resources, and Talent Acquisition to facilitate hiring logistics, onboarding, associate-relations support, and office operations.

What We're Looking For

  • Serve as the primary on-site point of contact for the office; greet visitors, guests, and vendors, handle inquiries, and direct associates to the right resources.
  • Manage calendars and schedule meetings, conference calls, and travel for IT leadership and teams; prepare agendas and coordinate meeting logistics.
  • Order, track, and maintain office and technology supplies; coordinate facilities, seating, and workspace needs as the office scales.
  • Coordinate onboarding for new hires and applicable offboarding, in partnership with HR and IT leadership.
  • Review and route requests related to workspace and access such as corporate cell phones, hotspots, additional monitors, and remote-access requests.
  • Partner with Talent Acquisition to coordinate IT job postings, interview scheduling, and offer logistics.
  • Track and coordinate PTO, out-of-office, and illness requests for the office; escalate to HR as appropriate.
  • Coordinate recognition, milestones, anniversaries, and team celebrations for the office.
  • Support annual bonus and merit cycle communications in partnership with HR, and help maintain the accuracy of associate lists.
  • Identify training and development needs for IT associates and coordinate scheduling of learning activities.
  • Build and maintain spreadsheets, trackers, and reports; perform data entry and prepare reporting for IT leadership.
  • Set up and maintain paper and electronic filing and records systems (including off-site storage) in a secure, logical, and easily retrievable manner.
  • Prepare and distribute correspondence, meeting notes, and routine communications; research and resolve inquiries and problems.

What You'll Bring

  • Ability to demonstrate professionalism, initiative, sound judgment, and discretion, with accountability for accuracy and follow-through.
  • Proven ability to safeguard confidential and sensitive personnel information.
  • Excellent verbal and written communication skills, with the ability to interact effectively with all levels of management, staff, and external partners.
  • Ability to organize, prioritize, and manage multiple tasks, responsibilities, and deadlines in a fast-paced environment.
  • Strong problem-solving skills and a service-oriented, collaborative approach.
  • Comfort supporting a growing office and adapting administrative processes to scale.

Education & Experience

  • Minimum Required: High School degree or experience that enables performance in all aspects of the position.
  • Preferred: Associate's or Bachelor's degree in Business Administration or a related field.
  • Minimum Required: 3+ years administrative-related experience.
  • Preferred: Experience supporting a technology or corporate office, and/or HR/workforce coordination.

Licenses & Credentials
