The Technology Asset Lifecycle Specialist manages the full lifecycle of university technology assets, including procurement, inventory, deployment, refresh, licensing, maintenance, and secure disposition. This position serves as the system administrator for the university’s IT asset management platform and maintains an accurate, auditable inventory of hardware, software, licenses, and technology equipment. The role leads annual technology asset audits, manages the university’s five-year computer refresh program, and ensures technology assets are deployed, tracked, and retired in accordance with institutional standards, security requirements, and budget objectives.

Responsibilities

IT Asset Management Program and Governance

  • Administer and maintain the university’s IT asset management system and asset data standards.
  • Maintain an accurate inventory of technology assets, including ownership, location, lifecycle status, and replacement schedules.
  • Develop, document, and improve asset lifecycle processes and accountability practices.
  • Establish and maintain asset classification, tagging, and inventory standards.
  • Partner with Information Security and Technology Services to ensure asset data supports compliance, security, and operational requirements
  • Collaborate with ITS Purchasing, Finance, and vendors to support technology procurement, contract administration, asset accounting, lifecycle budgeting, depreciation reporting, and total cost of ownership analysis.

Asset Tracking, Inventory Integrity, and Annual Audits

  • Lead the annual inventory and audit of university technology assets.
  • Conduct routine reconciliations across inventory, procurement, financial, and endpoint management systems.
  • Investigate and resolve inventory discrepancies and develop corrective actions.
  • Support internal and external audit requests, capital asset verification, grant reporting, and compliance documentation.
  • Coordinate reporting and resolution of lost, stolen, or damaged technology assets.

Self-Managed Five-Year Computer Refresh Program

  • Manage the university’s five-year computer refresh program, including forecasting, planning, deployment, and asset recovery.
  • Maintain replacement schedules and refresh forecasts to support annual budgeting and capital planning.
  • Coordinate device deployment, lifecycle replacement, data migration, and equipment reclamation activities.
  • Evaluate returned equipment for redeployment, reassignment, resale, recycling, or disposal.
  • Monitor and report refresh program performance and lifecycle metrics.

Software & License Management

  • Maintain software license, subscription, and renewal inventories.
  • Monitor software utilization and compliance, identifying opportunities for cost savings and optimization.
  • Coordinate software renewals and provide usage and cost analysis to support renewal decisions.
  • Support software vendor audits and licensing reviews.

Deployment Readiness, Maintenance, and Secure Disposition

  • Ensure retired devices are sanitized or destroyed in accordance with university security standards.
  • Coordinate technology surplus, recycling, and vendor disposition programs.
  • Manage inventory stockrooms, loaner equipment, and technology reserves.
  • Track warranty, repair, trade-in, and vendor return activities.

Procurement, Vendor & Financial Management

  • Coordinate technology purchasing and receiving activities with ITS Purchasing.
  • Maintain vendor, contract, warranty, and lifecycle records for technology assets.
  • Provide asset and cost data to support budgeting, capital planning, depreciation reporting, and total cost of ownership analysis.
  • Reconcile asset records with financial systems to ensure inventory accuracy and audit compliance.

Reporting, Automation, and Continuous Improvement

  • Develop dashboards and reports related to inventory accuracy, asset lifecycle status, refresh compliance, licensing, and technology spending.
  • Utilize automation and system integrations to improve data accuracy and operational efficiency.
  • Monitor and report key performance indicators and recommend process improvements.
  • Maintain procedures, documentation, and training resources.

Service, Collaboration, and Stakeholder Engagement

  • Serve as the primary point of contact for departments, faculty, and staff on asset requests, refresh timing, equipment options, and lifecycle policy questions.
  • Contribute to policy development and community awareness related to equipment stewardship, remote work equipment, and the distinction between personal and university-owned technology

Qualifications

Associate’s degree in information technology, business administration, supply chain management, or related field; or an equivalent combination of education and progressively responsible experience in IT asset management, technology support, or technology operations.

  • Three (3) years of experience in IT asset management, inventory control, endpoint deployment, technology operations, or related field.
  • Experience administering or supporting asset management, inventory management, or IT service management platforms.
  • Experience maintaining, reconciling, and reporting on asset and inventory data across multiple systems.
  • Working knowledge of Windows and macOS device management, deployment, and lifecycle support.
  • Knowledge of software licensing, subscriptions, and compliance practices.
  • Demonstrated analytical and problem-solving skills, including report development and data analysis.
  • Demonstrated ability to manage multiple projects and deadlines with minimal supervision.
  • Strong written, verbal, and interpersonal communication skills.
  • Demonstrated attention to detail and commitment to data accuracy and documentation.
  • Knowledge of information security, asset protection, and regulatory compliance requirements.
  • Valid driver’s license and ability to travel between campus locations.
  • Ability to safely lift and transport equipment weighing up to 50 pounds.

Preferred Qualifications

  • Bachelor’s degree in Information Technology, Business Administration, Supply Chain Management, or related field.
  • Professional certification in IT asset management, service management, or related discipline (e.g., ITIL, IAITAM).
  • Experience in higher education, healthcare, or other regulated, decentralized environments.
  • Experience managing or supporting technology refresh, replacement, or lifecycle programs.
  • Experience with endpoint management and asset management platforms (e.g., Intune, Jamf, ServiceNow, Lansweeper).
  • Experience developing automation, workflows, or system integrations using Power Platform, PowerShell, APIs, or similar tools.
  • Experience with software asset management, license optimization, and vendor audit support.
  • Experience with barcode, RFID, or enterprise inventory tracking systems.
  • Knowledge of technology asset accounting, depreciation, and cost recovery practices.
  • Experience supporting academic, research, clinical, or laboratory technology environments.
