As a Technical Operations & AI Workflow Specialist, you will play a critical role in supporting a fast-moving software agency and holding company operating across AI finance, travel technology, and agentic communications products. You’ll work closely with founders to manage client communication, coordinate technical workflows, and execute lightweight software updates using modern AI-assisted development tools.

This role is ideal for someone who is highly proactive, AI-native, technically curious, and comfortable operating in ambiguous startup environments where priorities evolve quickly. Rather than functioning as a traditional executive assistant or administrative operator, you’ll act as a highly trusted execution partner working across technical operations, product coordination, workflow management, and AI-assisted software execution.

Accountability

Your success as a Technical Operations & AI Workflow Specialist will be defined by your ability to improve execution speed, maintain operational clarity across multiple projects, and proactively support founders in a fast-paced startup environment.

Here’s how you’ll make an impact:

Technical Operations & AI Workflow Execution

  • Use AI-assisted coding tools such as Claude Code, Codex, and similar platforms to implement lightweight UI fixes and workflow updates.
  • Execute structured prompting workflows and validate implementation outcomes.
  • Coordinate technical task follow-ups across multiple active software projects.
  • Troubleshoot lightweight implementation issues independently.
  • Support scalable internal workflows that improve operational efficiency and execution speed.

Client Communication & Delivery Coordination

  • Manage ongoing communication across Slack, WhatsApp, email, and project management platforms.
  • Draft project updates and communicate timelines, blockers, and implementation progress clearly.
  • Follow up proactively with clients regarding deliverables and execution status.
  • Act as a reliable communication owner across multiple active client accounts.
  • Escalate risks, blockers, and shifting priorities early and clearly.

Project Tracking & Workflow Management

  • Track deliverables, timelines, and execution progress across concurrent projects.
  • Maintain visibility and accountability across founder and client workflows.
  • Coordinate tasks using tools such as Linear or similar project management systems.
  • Support prioritization and execution planning in a rapidly changing startup environment.
  • Help structure evolving workflows into repeatable operational systems.

Operational & Founder Support

  • Support founders with operational coordination and execution-heavy tasks.
  • Help document lightweight SOPs, workflows, and execution processes.
  • Contribute to future scaling initiatives and operational improvements.
  • Adapt quickly as responsibilities evolve over time.

Colleagues

You’ll work closely with founders, clients, and cross-functional technical teams, acting as a key operational partner in driving execution across multiple software products and client engagements.

Skills & Qualifications

As a Technical Operations & AI Workflow Specialist, your vertical focus will be on AI-assisted execution, technical coordination, and operational ownership, while your horizontal focus will include startup operations, client communication, and workflow optimization.


To excel in this role, you should have:

  • Experience: 3–6 years of experience in operations, project coordination, product operations, startup support, technical client services, or similar execution-heavy environments.
  • AI & Technical Fluency: Strong comfort working with AI tools such as Claude Code, Codex, ChatGPT workflows, and other AI-assisted operational systems.
  • Technical Curiosity: Comfort operating around software development environments, technical workflows, lightweight implementation tasks, and modern product tooling.
  • Project & Workflow Coordination: Proven ability to manage multiple concurrent priorities, coordinate deliverables, and maintain execution visibility across fast-moving projects.
  • Communication Skills: Strong written communication and proactive stakeholder management skills, with the ability to communicate clearly across clients, founders, and technical collaborators.
  • Execution & Ownership: Strong bias toward action with the ability to independently execute, troubleshoot, and follow through without requiring constant direction.
  • Adaptability: Comfort operating in ambiguous, rapidly evolving startup environments with changing priorities and workflows.

Role Specifications

This is a remote role, where you will be expected to work a split shift with some overlap with our client’s time zone. You will, however, be expected to be present for in-person training programs during your first 3.5 weeks with us.
