Job Description

We are seeking an organized, detail-oriented Technical Assistant to support our Project Managers and technical project teams. This position helps keep projects organized and moving efficiently by coordinating project documentation, client communication, reporting, billing support, contracts, and project closeout activities.

The ideal candidate is a strong communicator who can manage multiple priorities, work effectively with Project Managers and technical staff, and interact professionally with clients. Key Responsibilities

  • Support Project Managers with the day-to-day administrative and coordination needs of multiple projects.
  • Communicate with clients, Project Managers, technicians, inspectors, and other project staff regarding project requirements, deliverables, and outstanding items.
  • Coordinate the preparation, formatting, review, and distribution of project reports and deliverables.
  • Assist with project setup, contracts, work authorizations, certificates of insurance, and other project documentation.
  • Maintain accurate and organized electronic project files, client information, distribution lists, and project records.
  • Assist with proposals, change orders, amendments, certifications, and project closeout documentation.
  • Support project billing by reviewing hours, units, WIP information, supporting documentation, and other billing information.
  • Track project deadlines, client requests, contractual requirements, and outstanding follow-up items.
  • Prepare spreadsheets, correspondence, reports, and other project-related materials.
  • Assist Project Managers with scheduling meetings, coordinating deliverables, and maintaining project schedules and administrative requirements.
  • Provide general administrative and technical support to project teams as needed.

Qualifications

  • Associate’s or Bachelor’s degree preferred in business administration, construction management, engineering technology, project management, or a related field.
  • 2+ years of experience in a professional business, technical, or project-support environment preferred.
  • Strong organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage multiple projects, priorities, and deadlines simultaneously.
  • Intermediate proficiency with Microsoft Office, including Word, Excel, and Outlook.
  • Ability and willingness to learn project management, billing, and reporting software.
  • Strong judgment, professionalism, integrity, and ability to handle confidential or sensitive information.
  • Ability to work collaboratively with Project Managers, technical staff, administrative personnel, and clients.

Schedule

Full-time, in-office position, generally Monday through Friday, 8:00 a.m. to 5:00 p.m., with occasional overtime based on business needs.

The successful candidate will become an important part of the project team by keeping documentation organized, following up on outstanding items, supporting Project Managers, and helping ensure projects stay accurate, organized, and on schedule.
