Job Title: Teamsters Administrative Assistant I/Bookkeeper

Department Name: Clerk of Courts

Starting Rate: $18.73 per hour

Working Hours: M-F 8am - 4:30pm

Full Time or Part Time Position: Full Time

Bargaining Unit: Teamsters

Dauphin County Clerk of Courts is currently accepting applications for the full-time position of Administrative Assistant/Bookkeeper An employee in this position is responsible for bookkeeping and clerical support, involving customer service. The employee acts as the office bookkeeper, calculating and transmitting bank deposits into multiple accounts and updating financial records. The employee in this position prepares associated worksheets and reports, ensuring timely transmission of the same. This is a Union/Teamsters position.

The employee in this role is responsible for performing the following essential functions listed below:

  • Receives and records fees; prepares daily and monthly reports
  • Compiles monthly reports of receipts and distributions to Dauphin County and PA Department of Revenue
  • Receives funds posted for bail.
  • Reviews files of people released on bail to determine eligibility of refunds; computes poundage and refunds.
  • Applies assessments mandated by the State and the County for all sentenced cases.
  • Adjusts assessments, required by Court Order.
  • Prepares Bail Bonds in accordance with form of bail tendered; certifies same and conveys to appropriate prison
  • Collects fees and issues receipts.
  • Greets and assists clients at the counter.
  • Answer phone inquiries or directs questions to proper individuals or other departments.
  • Assists other employees as required.
  • Operates computer, scanner, copier, and other office equipment as needed.
  • Dockets, images and files all documents (electronic and paper) filed.
  • Performs all other duties as assigned.
  • Prepares and processes both state and county commitments.

MINIMUM EDUCATION, EXPERIENCE, & TRAINING REQUIREMENTS:

  • Graduation from High School or an accredited equivalency program required.
  • Knowledge of principles of bookkeeping and basic accounting.
  • Computer and data entry experience required.
  • A favorable criminal background is also required.
  • Common Pleas Case Management System (CPCMS) experience, preferred.
  • 2 – 3 years bookkeeping experience, preferred.

WORKING CONDITIONS:

  1. Works indoors in adequate workspace, lighting, ventilation and temperatures.
  2. Normal indoor exposure to noise, disruptions, stress, dust and dirt.
  3. May travel occasionally to perform essential position functions.

PHYSICAL/MENTAL CONDITIONS:

  1. Must possess ability to record, convey and present information, explain procedures and follow instructions.
  2. Must be able to sit for long periods throughout the workday, with intermittent periods of standing and walking and occasional periods of bending, twisting, carrying, pushing, pulling, stooping and reaching as necessary to carry out job duties.
  3. Dexterity requirements range from coordinated movements of fingers/hands for computer, to simple movements of feet/legs/torso as necessary to carry out job duties.
  4. Sedentary work, with occasional lifting/carrying of objects with a maximum weight of ten (10) pounds.
  5. Must be able to cope with the physical and mental stress of the position.
  6. Must be able to move frequently throughout the workday as needed to carry out essential job duties.
  7. Must be able to pay close attention to detail and concentrate on work.
  8. Must be able to multitask and prioritize workload and meet strict deadlines.
  9. Must be able to work as part of a team as well as individually with minimal supervision.
  10. Must be able to view, listen to, analyze, and relay sensitive information that may, at times, be graphic.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

  1. Must possess rudimentary knowledge of office automation.
  2. Must be able to speak and understand the English language and to follow oral and written instructions.
  3. Must possess knowledge in the Pennsylvania Crimes Code, Rules of Criminal Procedure, Vehicle Code, and the criminal justice community in the Central Pennsylvania area.
  4. Must possess interpersonal skills to interface with other members of the criminal justice community and Dauphin County government.
  5. Must possess the ability to maintain confidentiality regarding criminal justice information reviewed as part of working in the Clerk of Courts Office.
  6. A favorable background check is required.
