The Role

To provide comprehensive support to the Head of Procurement and Chief Accountant. This will cover a support to the leaders of teams of c20 and c50 people in Procurement and Central Finance respectively.

Principal Accountabilities

Operational Support for Leadership

  • Act as a central coordination point for the Head of Procurement and Chief Accountant, ensuring efficient workflow management, prioritising actions, and enabling informed decision-making.

  • Support leadership preparation for meetings, committees, trips and external engagements, preparing briefing packs, key messages, and required documentation.

  • Monitor inboxes proactively, respond to correspondence where appropriate, and manage delegation of tasks across the team to maintain momentum on key activities.

  • Preparing and submitting expenses and raising orders/requisitions using Workday for the team

Team Budget Oversight

  • Lead coordination and tracking of the Procurement and Central Finance team budgets, ensuring accurate forecasting, monitoring spend against plan, and highlighting variances or risks to the Head of Procurement and Chief Accountant as necessary.

  • Attending Monthly meeting with Finance Business Partner ensuring that budgets and alignment for each team.

Project & Programme Coordination and Administration

  • Provide operational and administrative support for Procurement and Finance project activities, including maintaining project trackers, coordinating actions, and supporting documentation, governance and reporting.

  • Providing comprehensive support in communicating with Leadership team/stakeholders.

  • Lead change communication to encourage positive engagement from the team and stakeholders.

PA Responsibilities

Diary & Meeting Management

  • Provide comprehensive diary management for the Head of Procurement and Chief Accountant, coordinating appointments based on learned knowledge of priorities and ensuring efficient use of leadership time.

  • Arrange, prepare, and coordinate meetings, including agendas, materials, room/venue bookings (e.g., Outlook, Vuture, Lloyd’s systems), and required attendees.

Meeting Preparation & Follow‑Up

  • Ensure leaders are fully prepared for upcoming meetings and engagements by developing briefing packs, circulating papers, and ensuring all relevant information is collated in advance.

  • Track and follow up on meeting actions to ensure timely completion.

Correspondence & Communication

  • Manage and triage senior leadership inboxes, prioritising emails, drafting responses, and progressing issues independently where appropriate.

  • Liaise with stakeholders, team members and external parties to resolve queries and maintain smooth communication flows.

Administrative & Team Support

  • Provide general administrative support to the Procurement and Central Finance teams, including document management, coordination of team activities, and support on internal processes.

  • Assist with travel arrangements, expenses, and logistical coordination as required.

Skills

  • Clear communicator - exhibiting diplomacy, sound judgement and discretion at all times.

  • Written and verbal communication skills.

  • Project management and coordination skills

  • Ability to build and manage relationships at all levels up to and including Director level both internally and externally.

  • Proactive, excellent organisational skills, high attention to detail and the ability to work to tight deadlines.

  • Ability to produce workable solutions that meets the immediate demands of the situation(s).

  • Excellent Microsoft Office skills, in particular - Outlook, Word and PowerPoint.
