About the Role

Sumitomo SHI FW (SFW) is looking for an enthusiastic and dedicated Team Leader, Document Coordinators to join the Engineering Management team.

We are seeking a professional who is passionate about documentation, information management, and continuous improvement, and who thrives in a dynamic working environment. In this role, you will lead the Global Project Documentation team and ensure that Project Document Management practices, procedures, tools, and archiving processes support both proposal and project execution activities.

You will manage and develop a team of Project Documentation Coordinators, balance team capacity, workloads, and provide practical support to proposal and project teams in complex documentation matters. The team consists of members from Europe and Asia. The position reports to the Chief Engineer of Engineering Management.

Key Responsibilities

  • Lead and develop the Global Document Coordinators team.
  • Manage team capacity, workload allocation, performance, and competence development.
  • Ensure effective, consistent, and compliant Project Document Management and archiving practices across proposals and projects.
  • Develop, maintain, and improve documentation procedures, tools, standards, and work instructions.
  • Provide documentation support to proposal and project teams, including complex issue resolution and cost/resource planning.
  • Drive continuous improvement by implementing lessons learned and resolving process bottlenecks.
  • Ensure documentation and archiving practices comply with applicable laws, regulations, corporate policies, and external standards.
  • Support customer negotiations within documentation-related matters when needed.
  • Be ready to step into Project Document Coordinator role when situation requires

Required Qualifications

  • Previous experience working with document management systems – knowledge of M-Files is an advantage.
  • Knowledge of archiving principles and practices.
  • Excellent oral and written communication skills in English.
  • Strong organizational and problem-solving abilities.
  • Experience in leading international team is seen as an advantage
  • Understanding of documentation standards, procedures, and compliance requirements
