Family Medicine Practice

Schedule: Monday–Friday, 8:00 AM–5:00 PM (Onsite)
Location: Methodist Medical Plaza South

Please note: Certified Medical Administrative Assistant (CMAA) certification required

The Registration Specialist Lead provides day-to-day leadership and operational support for the front office registration team within a large Family Medicine practice. This role partners closely with the Practice Manager and MA Team Lead to ensure efficient workflows, a high-quality patient experience, and a respectful, supportive team culture.

Key Responsibilities

Leadership & Team Support

  • Lead daily front office huddles and conduct monthly team rounding
  • Coordinate front office schedules in partnership with the Practice Manager
  • Assist with interviewing, onboarding, and training of Registration Specialists
  • Serve as a resource for team members, providing guidance and support during high-volume periods
  • Participate in performance conversations and disciplinary action plans, as needed
  • Promote a respectful, inclusive, and supportive team environment

Operations & Workflow Management

  • Delegate and oversee front office workflows, including task queues, pre-registration, insurance verification, ROI processing, scanning, and patient rescheduling
  • Provide check-in and check-out support as needed to ensure smooth patient flow
  • Monitor ARR and reconcile registration-related errors
  • Assist with time-of-service collections
  • Coordinate lunch coverage for the registration team
  • Amend short-term provider schedule requests as needed
  • Initiate and coordinate schedule “bumps” and distribute assignments to the team

Communication & Collaboration

  • Maintain active use of Teams and other clinic communication tools
  • Answer incoming calls and assist with message management as needed
  • Attend FOCUS meetings and disseminate relevant updates to the team
  • Attend monthly Cerner Superuser meetings and share key information

Training, Quality & Compliance

  • Train all new Registration Specialists on workflows, policies, and patient experience initiatives
  • Conduct audits and report findings to leadership
  • Identify and escalate behavioral issues or policy violations to management
  • Lead or participate in process improvement initiatives
  • Cross-train in all Registration Specialist roles within the department

Patient Experience & Environment

  • Uphold and model patient experience standards
  • Ensure waiting room surfaces are cleaned when a sick patient has been present
  • Support outreach efforts as directed by leadership

Required Qualifications

  • High School Diploma or GED required
  • Minimum of three (3) years of relevant experience in a healthcare setting
  • Certified Medical Administrative Assistant (CMAA) certification required
  • Coding experience preferred
  • Successful completion of Foundations of Leadership within six (6) months of assuming the role, or prior/ongoing participation in the Emerging Leaders Program

Certification Requirement Note:
Individuals currently in the Team Lead – Registration Specialist role at the time of career ladder implementation will be given priority access to CMAA certification exam cohorts. Certification must be successfully obtained within one (1) year of implementation. Failure to achieve certification may result in transition to an appropriate Registration Specialist role and may include a potential pay adjustment.
