What’s the role?
The Team Assistant, Data, Digital & AI (DDAI) is a high-impact operational role that directly enhances the effectiveness and performance of the Head of DDAI DataX & Global Transaction Services (GTS) in Westpac Institutional Bank, while providing operational support to the DDAI Economics team. The role acts as a force-multiplier for senior leadership by ensuring disciplined execution, strong operational rhythm, and seamless coordination across priorities. In addition to executive support, the role plays a critical role in enabling the timely and high-quality publication of Economics content via WestpacIQ.
Please note, this is a max term hire covering a maternity leave.
Your responsibilities will include:
- Own and optimise diary management for the Head of DDAI DataX & GTS ensuring focus on highest-value priorities
- Drive preparation, coordination, and follow-through for leadership meetings and forums
- Deliver desktop publishing support for Economics publications and coordinate end-to-end publication workflows for Economics content, including the creation, formatting, editing and production of documents using Adobe InDesign and other publishing tools
- Manage the online publication of Economics reports and commentary via the WestpacIQ website, including coordinating publication workflows and maintaining video content
- Schedule and coordinate team meetings, workshops, offsites, events and team engagement activities, including venue bookings, logistics, materials and stakeholder communications
- Coordinate people management administration activities, including onboarding, offboarding, PeopleHQ requests and maintaining employee records.
- Provide backup support for Executive Assistant during periods of leave or high workload.
What do I need?
To be successful in this position, you should have experience in Team Assistant or Executive Assistant roles previously. You will need to be able to work with high level stakeholders and perform in a fast-paced environment. You should also have strong organisational skills and a key eye for detail.
