RSM’s Brisbane Audit & Assurance division is growing, and we’re looking for a motivated Team Assistant to support our Partners, Directors, and a thriving and growing audit team of approx. 30 professionals.

In this dynamic role, you’ll be at the heart of our division, supporting senior leaders, keeping operations on track, and ensuring our team can deliver exceptional client service. You’ll gain exposure across financial administration, business development, CRM management, compliance, and office operations, making this the perfect role for someone who loves variety and wants to grow their career within professional services.

Key responsibilities:

  • Provide day-to-day administrative support to Partners, Directors, Managers, and the broader audit team.
  • Coordinate calendars, schedule meetings, arrange logistics, and prepare required materials.
  • Process Partner and Director expenses accurately and in line with firm policies.
  • Assist with the preparation, processing, and distribution of client invoices, as well as debtor follow-ups and routine financial reporting.
  • Support timesheet compliance, engagement budget setup, and general finance related administration.
  • Maintain accurate CRM data, update contact records, monitor BD activities, and assist with client communications and proposal preparation.
  • Format, proofread, and quality check client documents and proposals to ensure brand compliance.
  • Maintain organised electronic files, support document storage within ECM, and ensure accurate record‑keeping.
  • Assist with client onboarding and offboarding, including compliance documentation and ASIC related tasks.
  • Manage phone enquiries, coordinate travel bookings, and support general office operations and facilities management.
  • Assist with team events, hospitality, and internal meetings as required.
  • Provide reception relief, cross‑train with other administrators, and deliver backup support across the office during peak periods or absences.

With strong attention to detail and a collaborative mindset, you’re confident in managing multiple priorities while maintaining professionalism, accuracy, and a positive attitude.

You will bring:

  • Proven experience in an administrative, team support, or practice assistant role, ideally within professional services or corporate environment.
  • Strong organisational skills with the ability to manage competing deadlines and deliver work with consistency and accuracy.
  • Excellent attention to detail, particularly in formatting, documentation, and data integrity.
  • Advanced PowerPoint skills, including document and presentation formatting in line with Firm branding and visual identity guidelines.
  • Confidence using Microsoft Office applications (Word, Excel, Outlook).
  • Confidence supporting senior stakeholders, with professional communication and interpersonal skills.
  • The ability to handle confidential information with discretion and sound judgement.
  • A proactive, flexible approach and the willingness to support team needs, particularly during busy periods.
  • A collaborative mindset and a strong commitment to high‑quality service.
  • Experience in audit, accounting, legal, or another professional services setting is desirable.
  • Familiarity with systems such as GreatSoft, CRM tools, ECM, or financial administration platforms is desirable.
