We have an exciting opportunity for a Team Administrator in Lucerne (50%).

The Team Administrator is responsible to deliver all administrative and service-related tasks for Norgine AG and SpePharm AG in Switzerland (Lucerne).

SCOPE

  • Provide comprehensive support to the Finance Business Partner and the General Manager
  • Take ownership of administrative responsibilities and assigned tasks
  • Act as a key interface between local and global functions

KEY RESPONSIBILITIES

  • Manage facility and office services on site, including Health & Safety activities
  • Act as Travel Coordinator for Switzerland
  • Provide efficient administrative support, including:
    • Meeting organisation and logistics
    • Communication support
    • Expense tracking vs. budgets
    • Purchase order (PO) creation
    • Catering arrangements
  • Manage purchase orders and goods receipts for the Switzerland team in collaboration with Finance
  • Support budgeting and forecasting processes
  • Support projects, including coordination of project plans, communication, documentation, and budget/forecast tracking
  • Manage car fleet and car fleet administration for Switzerland
  • Coordinate transport and logistics for commercial staff and team meetings where required
  • Coordinate transponders for new employees and new workplaces
  • Maintain and update internal SharePoint sites to ensure information is accurate and up to date
  • Organise contract management activities in Switzerland (Agiloft)
  • Support the Legal department by:
    • Managing commercial register activities
    • Coordinating communication with Legal
    • Arranging appointments with lawyers
    • Preparing POs for legal services and suppliers

Local Point of Contact (LPoC) Responsibilities – Switzerland

  • Act as the extended arm of the GBS provider, supporting all related activities
  • Handle all queries professionally and efficiently
  • Collaborate with other LPoCs to identify improvement opportunities

Additional responsibilities include:

  • IT storage room management
  • Distribution of IT devices and accessories on demand
  • Access control management
  • Vendor coordination
  • Technical desk setup

Requirements

TECHNICAL SKILLS & EXPERIENCE

  • Minimum of 3 years’ experience in office management
  • Fluency in German and English
  • Strong proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel)
  • Experience with E1 systems (e.g. POs, invoices) and SharePoint
  • Ability to work under pressure and manage multiple priorities, sometimes with tight deadlines
  • Ability to make day-to-day decisions independently and collaboratively within the immediate work environment
  • High personal standards and a strong drive for success
  • Proactive, structured and organised approach to work, with flexibility when required
  • Strong team player with a supportive and service-oriented mindset towards internal and external stakeholders
