Job Description

What You'll Do

As Avalara expands its Managed Services footprint across thousands of global customers, the need for accurate, scalable, and compliant tax exemption processing has never been greater. A single error in exemption certificate validation can expose a customer to significant audit liability — directly impacting client trust, retention, and Avalara's reputation. The Managed Services Exemption Analyst (I2) exists to ensure that high-volume exemption certificate workflows are executed with precision, speed, and full regulatory compliance across US jurisdictions.

This role is critical to Avalara's ability to deliver a differentiated, audit-ready managed service that drives customer confidence and operational efficiency at scale — while supporting Avalara's AI-first backed growth agenda.

What Your Responsibilities Will Be

  • Own end-to-end validation and approval of sales tax exemption certificates for a portfolio of 200–300 client accounts, ensuring all documentation meets government audit minimum requirements and customer compliance standards at all times.
  • Drive proactive client engagement by independently managing high-volume email and call interactions, resolving certificate-related queries with minimal escalation to senior team members or SMEs.
  • Ensure zero lapse in certificate coverage by systematically monitoring expiry timelines, proactively engaging customers for renewals, and maintaining real-time accuracy of all records within the ECM platform.
  • Serve as a product expert on Avalara's platforms, enabling clients to self-serve effectively and make informed decisions on their tax exemption strategy.
  • Conduct independent research on state-specific exemption rules and regulations, formulating defensible, compliance-backed opinions on certificate validity without requiring SME involvement for routine decisions.
  • Identify and implement process improvement opportunities using AI tools that reduce manual effort, improve processing accuracy, or shorten certificate turnaround times — and document measurable outcomes.
  • Elevate team performance by providing active floor support and structured mentoring to new analysts, accelerating their ramp-up and raising overall team quality standards.
  • Maintain clear and timely communication with SMEs and leadership on processing status, unusual certificate forms encountered, and emerging compliance risk.
  • Support leadership on strategic projects and ad hoc initiatives aligned to Managed Services growth and operational excellence.

What You’ll Need To Be Successful

AI Expectations

Avalara is an AI-first company. This role is expected to embed AI meaningfully into daily workflows — not as a convenience, but as a capability that materially improves quality, speed, and scale. Casual or occasional AI usage does not meet Avalara's AI Bar Raiser standard.

The Managed Services Exemption Analyst (I2) is expected to:

  • Leverage Avalara's AI-powered features within ECM and Salesforce — including automated certificate flagging and AI-assisted data extraction — to increase processing throughput and reduce manual review effort on standard certificate types.
  • Use Avalara approved AI tools writing assistants to draft high-quality client communications, expiry renewal outreach, and escalation summaries — reducing response turnaround time without compromising accuracy or tone.
  • Apply AI-powered research tools to rapidly research state-specific exemption rules, identify regulatory changes, and formulate well-supported, compliance-backed certificate validation opinions.
  • Demonstrate responsible and ethical AI usage at all times — validating AI-generated outputs against authoritative compliance sources before acting on them, and flagging uncertainty appropriately.
  • Proactively identify new AI use cases within the exemption management workflow and actively share learnings and best practices with peers to raise the team's collective AI capability.

Candidates must be able to provide specific examples of how they have used AI to improve measurable outcomes, including time saved, quality improved, or volume scaled.

Job Qualifications

Required

  • MBA in Finance or a closely related field.
  • 3–6 years of relevant work experience in a tax operations, compliance, or finance function within a multinational organization.
  • Demonstrated ability to independently manage external client relationships and coordinate across internal teams to resolve complex, time-sensitive queries.
  • Excellent written and verbal communication skills; able to engage confidently and persuasively with clients in both routine and escalation scenarios.
  • Hands-on, demonstrated experience using AI tools to produce measurable improvements in work output — not just familiarity with tools.
  • Advanced proficiency in Microsoft Excel, including data analysis, reconciliation, and reporting.
  • Strong analytical and problem-solving skills, with the ability to conduct independent research on US sales tax rules, rates, and regulations and formulate defensible compliance opinions.
  • High personal standards of accuracy, professionalism, and ownership in all work product.
  • Ability to work in a hybrid environment (minimum 3 days in office mandatory) and willingness to extend hours as required by business need, including weekends and US business hours.

Preferred

  • Prior experience or working knowledge in US Sales Tax, exemption certificate management, or a related tax compliance domain.
  • Familiarity with Avalara products (ECM, AvaTax) or comparable tax technology platforms.
