We are seeking a highly organized and proactive Tax and Operations Coordinator to support the day-to-day operations of our tax practice while helping deliver a seamless and professional experience for our clients.

In this role, you will serve as a key operational partner to our tax professionals, working closely with the tax department head and team members to help manage workflows, track project progress, and support communication with clients. Your work will play an important role in ensuring tax enagements move efficiently from intake through completion.

This position blends tax operations coordination, client service, and administrative support, making it an ideal opportunity for someone who enjoys working in a fast-paced professional services environment and wants to play a central role in supporting a high-performing tax team.

Key Responsibilities

Tax Practice Coordination

Support the overall workflow and organization of the tax department to help ensure projects stay on track and deadlines are met.

Responsibilities include:

  • Assisting with tax engagement workflow coordination and project tracking

  • Supporting communication between tax professionals, administrators, and clients

  • Monitoring the tax administration inbox and ensuring inquiries are routed and addressed promptly

  • Assisting with client onboarding and offboarding processes

  • Supporting client database updates and engagement records

  • Helping investigate issues such as rejected e-filings or extensions and coordinating follow up as needed

  • Generating reports related to tax deadlines and project status

Assist tax leadership with financial visibility into engagements and client accounts.

Responsibilities include:

  • Preparing Work in Progress (WIP) reports, including monitoring balances over 90 days

  • Supporting Accounts Receivable tracking, including maintaining status updates on balances over 60 days

  • Entering and tracking billable expenses related to client engagements

  • Supporting partners with expense reporting and engagement financial tracking

Support internal tracking tools and processes that help the tax team operate efficiently.

Responsibilities include:

  • Maintaining the weekly utilization tracker for the team

  • Assisting with client inactivation and engagement status tracking

  • Supporting operational projects and administrative initiatives within the tax practice

Support initiatives that strengthen team culture and community engagement.

Responsibilities include:

  • Coordinating team events and registrations

  • Preparing or organizing materials for internal or external events

  • Assisting with community sponsorship participation and guest attendance

Provide administrative and logistical support to partners and leadership to help keep operations running smoothly.

Responsibilities include:

  • Supporting special projects and administrative initiatives

  • Assisting with event coordination and communication

  • Managing office supply needs, including event materials and shared office items

  • Supporting conference room setup and meeting logistics

  • Coordinating building maintenance or facility needs as they arise

Qualifications

The ideal candidate will bring experience in tax administration, professional services coordination, or office operations, preferably within a public accounting or financial services environment.

Successful candidates will demonstrate:

  • Strong organizational and time management skills

  • Excellent written and verbal communication

  • Attention to detail and ability to manage multiple priorities

  • Proficiency with Microsoft Office and business software tools

  • Comfort working with tax software or document management systems

  • A collaborative, service-oriented mindset

  • Professionalism when interacting with clients and leadership
