About this Role
The Talent Coordinator is a high-service, detail-strong operational role that supports end-to-end talent acquisition coordination, talent development administration, and day-to-day HR program delivery. This role functions as the operator behind our talent systems—ensuring a strong candidate experience, clean recruitment administration, and consistent talent development execution. A smaller portion of time supports HR Business Partners (HRBPs) with scheduling, documentation, and HR program coordination.
Core Responsibilities
Talent Acquisition Administration & Onboarding Coordination
- Maintain the recruitment pipeline utilizing the HRIS recruitment module and internal tracking files, ensuring accurate, real-time status updates and documentation quality
- Coordinate end-to-end candidate scheduling (screening, interviews, panel coordination), including calendar management and logistics
- Create and post job advertisements (internal/external) and ensure postings are current across all channels as needed
- Administer candidate communications (templates, scheduling messages, follow-ups), ensuring a responsive, professional candidate experience
- Support hiring managers with interview package preparation (resume packages, interview guides, candidate evaluation tools)
- Coordinate co-op and other student programs maintaining relationships with educational institution contacts and moving approved roles forward in line with program calendars
- Administer reference checks and pre-employment screening coordination
- Prepare offer documentation and onboarding coordination handoffs, ensuring complete files for HRBPs and managers
- Prepare employee agreements and change letters
- Maintain recruitment process documentation, templates, and standard operating procedures (SOPs)
- Ensure recruitment data integrity, confidentiality, and compliance with record retention requirements
- Lead recruitment cycle for more junior administrative hiring needs
- Maintain an effective onboarding program for new employees
- Assign onboarding training programs and track completion progress
- Serve as the primary point of contact for new hires, addressing pre-boarding and onboarding inquiries
- Lead and facilitate corporate orientation sessions, ensuring a welcoming and informative experience
- Promote the new hire experience by continuously improving onboarding tools and processes
- Gather feedback from new hires through surveys and discussions to enhance onboarding experiences
Key Responsibilities — Talent Development / Learning Administration
- Coordinate operational administration for talent development programs (training calendars, attendance, registrations, rosters)
- Support internal learning programs (new hire learning pathways, mentorship circles, certification tracking) through strong logistics coordination
- Administer Learning Management System (LMS) (enrollments, completions, troubleshooting, reporting)
- Maintain updated learning content libraries, program templates, and facilitator/participant materials
- Coordinate evaluations and feedback surveys; compile results into summary dashboards for the talent team
- Track and report participation, completion, and compliance-related training metrics
- Support talent review cycle administration (calibration session scheduling, collection of templates, documentation consistency)
- Provide administrative support for career development offerings (workshops, coaching coordination, internal postings)
- Ensure confidential handling and secure storage of learning and talent documentation
Key Skills and Competencies:
Must-haves
- Post-secondary education in Human Resources, Business Administration, or related discipline
- 2+ years of experience in HR coordination, recruitment administration, or HR program support
- Strong administrative execution skills: organization, prioritization, attention to detail, and follow-through
- Comfort with systems and data: ATS/LMS/HRIS exposure, advanced Excel or tracker management, and reporting ability
- Strong written communication skills for candidate-facing and employee-facing communications
- Demonstrated ability to manage confidential information with discretion and professionalism
- Ability to operate effectively in a fast-paced environment with competing priorities and multiple stakeholders
- Ability to triage, coordinate, and deliver while maintaining strong attention to detail
