Part-Time | 4 days a week in office

The Team

The Talent Assistant is a permanent position in the Calgary office, which will dually report to the Human Resources and Legal Talent teams in the Calgary office. The Talent Assistant will work closely with local teams, as well as collaborate with the broader People & Development team to ensure the service level provided to internal clients meets the requirements of the firm and is consistent with the policies, procedures and firm culture.

The ideal candidate should possess a high degree of discretion, organization and independent judgment, with a proven skill set towards building collaborative and trusted relationships and fostering a spirit of co-operation and teamwork. They will maintain a very high level of confidentiality; instill trust; consider strategy and act autonomously while soliciting input and guidance as appropriate.

The Talent Assistant will support various aspects of the people programs, including milestone anniversary programs, onboarding, off-boarding, event coordination and execution, and employee engagement initiatives ensuring seamless HR and legal talent operations across the organization. The Talent Assistant role also encompasses a broad range of other responsibilities from tracking and submitting expenses, data entry to reporting and project work, as well as attending to tasks and liaising with the national People & Development team and other internal groups as necessary.

The Talent Assistant is a key member of the People and Development team, responsible for initiating and managing various Workday tasks related to the employee life cycle including promotions, departures, new organizational structures, payroll forms and processing. The ideal candidate is highly proficient in Excel and HRIS (ideally Workday) and possesses strong organizational and communication skills.

Key Responsibilities and Duties

This role will involve but is not limited to the following:

Human Resources

  • Support all key HR initiatives, acting as a contact for questions and providing interpretation in the areas relating to policies and procedures.
  • Initiate and manage Workday tasks in collaboration with local and national HR team.
  • Collaborate with other team members to plan and organize internal employee events including Employee Appreciation Week, social and wellness events, lunch and learns and other employee programs.
  • Coordinate Employee Bravo program communications, Milestone Anniversary program and other recognition programs as required.
  • Assist with employee life cycle activities from onboarding to retirement.
  • Manage team invoices, reimbursements, expenses, and maintain accurate records.
  • Coordinate system updates and payroll activities for parental leaves and disability leaves.
  • Participate in legal assistant practicum student programs, and other activities within the practice.
  • Assist in ad-hoc projects as required.

Legal Talent

  • Support all key legal talent initiatives, including fee-earner life-cycle activities
  • Serve as primary administrative support for the Legal Talent Team
  • Coordinate and support performance reviews for associates
  • Arrange for onboarding and orientation of all new lawyer hires and assist with off-boarding, in particular Law Society paperwork and seeking reimbursement of insurance and practice fees from any new employer.
  • Assist the Legal Talent Director to ensure that all Calgary lawyers’ annual installments are paid on time to the Law Society of Alberta.
  • Execute lawyer and student related transactions in Workday.

What you bring to the role:

  • Minimum of 2-3 years of experience in HR administration, preferably with exposure to payroll processing
  • The ideal candidate is a motivated self-starter with a tireless service ethic who enjoys working closely with others in achieving common goals.
  • Ability to manage multiple client needs and effectively prioritize in an ever changing deadline driven environment.
  • Organized planner with strong project management and communication skills, excellent interpersonal skills.
