job title:  TALENT AND REWARD OPERATIONS LEAD
JOB SUMMARY:  
The Talent & Reward Operations Lead is responsible for the Local Talent & Reward operations activities.
  • The Lead will manage the local team to ensure all activities in scope are running smoothly and result in a great employee experience and also ensure UCB local market reward competitiveness. 
  • Main responsibilities include: compensation, benefit programs management, local policy making & compliance with legal & company regulations, employee lifecycle managment, payroll management, local HR Answers service, Personnel administration, and representing TRO to communicate with JEC & local managers.
  Duties/Responsibilities:                                                                                       Reward Management & legislative compliance management:
  • Responsible for global reward policies local implementation & communication, ensure local legislation compliance. 
  • Responsible for the smooth and compliant running of global reward processes (LTI, Compensation Review, Salary surveys, Recognition etc.) local roll-out and implementation
  • Keeps abreast of evolving reward trends via networks and benchmarking
  • Manage the local portfolio of benefits under Global / Regional Strategy (Pension, Insurances & other local ones)
  • Enable the annual Workforce Planning exercise with external market trend & internal business environment
  • Analyze and evaluate external and internal market trends & data to ensure UCB Japan competitiveness in Pharma market
  • Manage Job Evaluation process & result base on global JE philosophy
  • Manage the local offering process with accuracy and achieve the DE&I goal
  • Advises local leadership on reward with the support of the regional reward lead
  • Keep local policy up to date by partnering with Local Talent Partners Team.
  • Lead internal and external audits and ensures specific audit actions are timely implemented
  • Partners with local providers, lawyers and our internal legal and tax department to actively manage risk, ensure regulatory compliance, identify/communicate the impacts to the stakeholders and ensure processes, documentation and practices are updated including BCP
  • Provides input into development and improvement of global reward policy and processes and ensures local needs and preferences are heard and understood  
Talent Operations Management
  • Responsible for accuracy & timeliness of company payroll & local HR Administration
  • Ensures payroll and HR Administration are audit proof & compliant
  • Ensures that all the activities related to the employee lifecycle are executed with the higher quality and eye for detail
  • Manages escalations and supports the team in complex cases
  • Ensures that all activities are managed in line with global guidelines & expectations
  • Responsible for employee satisfaction ensuring qualitative & timely follow-up of questions & requests
  • Ensure the local team is leveraging technologies in view with the global philosophy (eg using the Neocase HR Answers platform in line with global guidelines & approach
  • Ensure KPI’s) and that globally defined goals for HR Answers are achieved
  • Drives Improvements & escalation of issues with the platform and service toward global team
  • Ensuring Knowledge base is updated and used by employees – Ensures HR is the main communication channel towards employees
  • Keeps abreast of local legislation and evolving policy trends via networks and benchmarking
Team Management:
  • Lead the local Talent & Rewards Operations team (staffing, work planning, performance management & budgeting)
  • Coaching & development of team members
  • Ensures team members resources planning and have the ability to connect with connections global & regional team for personnel growth  
Partnership Management:
  • Manages the relationship with local providers (payroll, benefits, fleet, etc.)
  • Drives governance with focus on improving service & collaboration
  • Drives KPI for external partners together with purchasing
  • Responsible for set-up of new partners/initiatives upon business needs 
Operations Management & Innovation:
  • Ensures that team members are real process owners feeling responsible for the performance & continuous improvement
  • Ensure basics are covered in all activities: checklist, work instructions, process guides etc.
  • Coaching & inspiring the team to search for new digital solutions to increase quality & efficiency
  • Use insights & data to measure and improve processes
  • Drive local implementation of automation initiatives
