Job Description

The Talent Acquisition Coordinator supports end-to-end hiring operations with a focus on pre-employment processing, onboarding coordination, interview logistics, and temporary workforce management. This role ensures a seamless, compliant, and candidate-focused hiring experience from offer acceptance through day-one readiness, while partnering closely with Talent Acquisition, HR, and hiring teams to support efficient and effective hiring outcomes.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Pre-Employment & Onboarding Coordination

  • Manages all pre-employment processes, including background checks, drug screens, and employment verification
  • Tracks candidate progress and proactively addresses delays to ensure onboarding readiness
  • Communicates clearly with candidates regarding requirements, timelines, and next steps
  • Partners with HR and hiring managers to ensure candidates are fully cleared to start
  • Coordinates onboarding logistics from offer acceptance through day one
  • Ensures completion of all onboarding documentation and compliance requirements
  • Serves as the primary point of contact for new hires from offer acceptance through start date to ensure a positive onboarding experience

Interview Coordination (Panel Focus)

  • Coordinates panel interview logistics across multiple stakeholders, ensuring scheduling accuracy and a seamless interview experience
  • Manages interview flow, materials, and stakeholder preparedness to support effective and efficient interviews
  • Tracks and facilitates timely collection of interview feedback to support hiring decisions

Team Member Referral Program Administration

  • Administers Team Member referral processes, including accurate and timely submission of referral bonuses and maintenance of related documentation

Careers Inbox & Candidate Communication

  • Manages candidate communications through the careers inbox, ensuring timely, professional, and consistent engagement throughout the hiring process

Recruitment Operations & Systems

  • Maintains accurate candidate and requisition data in the applicant tracking system (ATS) and ensures compliance with hiring workflows
  • Tracks onboarding progress, hiring activity, and recruitment metrics to support operational visibility
  • Identifies opportunities to improve coordination processes and overall hiring efficiency

Temporary Workforce Management

  • Coordinates onboarding and administration of temporary and temp-to-hire workforce in partnership with staffing agencies
  • Tracks temporary assignments, including start dates, extensions, and conversions
  • Serves as liaison between internal teams and agency partners to ensure alignment and compliance

Internal Opportunities

  • Supports internal job postings and internal candidate movement in partnership with Talent Acquisition and HR
  • Coordinates scheduling and communication for internal candidates to ensure a consistent and fair experience

QUALIFICATIONS

REQUIRED

  • Associate degree in Human Resources, Business Administration, Communications, or related field preferred.
  • Relevant experience may be substituted for education
  • 1–3 years of experience in recruiting coordination, HR operations, or administrative support required.
  • Working knowledge of Microsoft Office tools (e.g., Word, Excel) required.
  • Experience supporting high-volume hourly or manufacturing recruiting preferred.
  • Familiarity with ATS systems (e.g., UKG, Workday, iCIMS) preferred.
  • Experience with temporary workforce coordination preferred.
  • Exposure to onboarding processes and pre-employment process preferred.

ADDITIONAL INFORMATION

WORK LOCATION

This role is expected to be onsite at our Pleasant View location in Plymouth, WI 1 day per week and may work remotely 4 days per week. Remote work must be performed within Wisconsin or another approved state in accordance with company policy.

TRAVEL REQUIREMENTS

Occasional Travel (up to 10%) – Limited travel for training, meetings, or visits to other Sartori manufacturing facilities.
