Job Description

MOO set out to shake up the world of print back in 2006. And we’ve come a long way since. Today we’re a 400 + strong team (we’re thinking of getting matching jackets) who create print and digital products for companies of all sizes – from Google and AirBnB to the guy who makes those amazing prints you found at a craft fair.
Our global HQ is in London, UK, while we also have premises in Dagenham. In the US, you’ll find us in Boston, MA, as well as East Providence, RI and Denver, CO and now in Cape Town South Africa!

The Talent Acquisition Coordinator is an integral part of our Talent Acquisition team, supporting the administrative and operational aspects of the hiring process from scheduling interviews and preparing offer letters to maintaining systems, tracking data, and ensuring a seamless candidate experience. You’ll collaborate across teams in the US, UK, and South Africa, gaining visibility into a global recruiting operation and the opportunity to grow your skills in recruiting, coordination and systems.

This role reports to the Head of Talent Acquisition and partners closely with recruiters, hiring managers, People Partners, and People Operations.

The person we want is highly organized, proactive, and detail-oriented. You bring a strong sense of ownership and enjoy keeping processes on track, calendars aligned, and information accurate. You are strong at creating order, spotting what’s missing, and ensuring day-to-day recruiting operations run smoothly. Above all, you care deeply about the candidate experience. You understand that every interaction reflects MOO’s brand and are committed to delivering a seamless, professional, and welcoming experience for every applicant.

This role will be 11:00 - 19:00 to ensure both UK and US teams are supported.

Responsibilities

  • Coordinate and schedule interviews across multiple time zones, ensuring a smooth and positive candidate experience.

  • Manage recruiting calendars and logistics for candidates, recruiters, and hiring teams.

  • Ensure all Talent Acquisition tracking systems are accurate, up to date, and reflective of real-time hiring progress.

  • Prepare offer letters and support the administrative aspects of the hiring process.

  • Maintain data integrity across recruiting systems including Lever, Spoke, and related tools.

  • Support onboarding and pre-employment administrative processes as needed.

  • Troubleshoot scheduling or system issues and proactively flag process gaps.

  • Assist with updates to job postings, careers page content, and employer branding materials.

  • Contribute ideas to improve recruiting coordination, candidate communications, and hiring operations.

    You use sound judgment in managing day-to-day coordination activities, from prioritizing interview schedules to handling sensitive information with discretion. You know when to escalate issues and how to balance urgency with accuracy and care.

    You thrive in an administrative and coordination-focused environment where attention to detail matters. You enjoy bringing structure to busy workflows, managing multiple requests simultaneously, and finding ways to make scheduling, communication, and processes more efficient for everyone involved.

    You’re a collaborative and dependable partner to recruiters, hiring managers, and candidates. You communicate proactively, follow through consistently, and are always willing to jump in and support the team when things get busy.

    Nice to Haves

  • Previous experience in a recruiting coordinator, administrative, operations, or support role is a plus, though curiosity, organization, and initiative matter most.

  • Proficiency in Google Workspace and familiarity with tools like Lever, Greenhouse, or other ATS platforms is a bonus.

  • Experience coordinating across multiple time zones or supporting fast-paced teams is helpful.
